Harniss Building Services Solutions are a successful building services consultant and contractor that undertake design, installation and commissioning of building services with a specialism in the healthcare sector. We are also experienced in low carbon engineering solutions and renewable technologies, which is becoming an ever-increasing part of our work as the industry changes to focus on sustainability and reducing its impact on climate change.

This is an exciting opportunity for a highly organised and detail-oriented Document Controller to join our dynamic team. You will play a key role in supporting the successful delivery of projects by ensuring all project documentation is accurately controlled, maintained and distributed throughout the project lifecycle. Working closely with Project Managers, Engineers, subcontractors, suppliers and clients, you will be responsible for maintaining document control procedures, supporting project teams and ensuring information is readily accessible, up to date and compliant with company standards.

The position is available at either our Kettering or Fareham office.

Responsibilities

Upload, download and manage project documentation using client and third-party document management systems.

  • Maintain document registers and ensure all project documentation is correctly recorded and updated.
  • Control the issue, distribution and tracking of technical documents including drawings, specifications, reports, RFIs and technical submittals.
  • Ensure all project documentation is filed and stored in accordance with company procedures.
  • Maintain accurate electronic and hard copy project files and records.
  • Monitor document revisions and ensure the latest approved versions are issued to relevant stakeholders.
  • Coordinate document transmittals and maintain distribution records.
  • Provide document management support to Project Managers and Engineers throughout project delivery.
  • Arrange and manage access permissions for internal and external users on document management platforms.
  • Collect, scan, print, distribute and archive project documentation as required.
  • Assist project teams with the preparation, collation and organisation of O&M manuals.
  • Prepare reports, registers, trackers and templates as required.
  • Monitor document submission deadlines and support project teams in meeting key deliverables.
  • Liaise with clients, subcontractors, suppliers and consultants regarding document requirements.
  • Support continuous improvement of document control procedures and systems.
  • Undertake general administrative duties as required to support the Contracting team.

Requirements

  • Previous experience in a Document Controller, Administrator or similar role.
  • Experience working within the construction, engineering or building services sector is desirable.
  • Proficiency in Microsoft Office applications, particularly Word, Excel and Outlook.
  • Experience using document management systems and project collaboration platforms.
  • Excellent organisational and time management skills.
  • Strong attention to detail and accuracy.
  • Ability to manage multiple tasks and work effectively to deadlines.
  • Excellent written and verbal communication skills.
  • Ability to work independently and as part of a team.
  • Professional and confident approach when dealing with clients, suppliers and colleagues.
  • Strong problem-solving skills and a proactive approach to managing workloads.
  • GCSEs (or equivalent) in English and Maths.
