We are looking for a Pre-Construction Administrator to support our Building Fabric Pre Construction team across the Midlands. You will be the organisational backbone of a busy pre construction operation — keeping the bid tracker up to date, coordinating information, supporting tender submissions, and ensuring the team can focus on winning work.

Key Responsibilities
- Maintain and update the pre-construction bid tracker, ensuring all live enquiries, submission deadlines, and pipeline status are accurately recorded at all times.
- Coordinate the flow of information between the pre-construction team and internal stakeholders — including estimating, design, procurement, and delivery.
- Support the preparation of tender submissions — formatting documents, compiling appendices, and ensuring all required information is included and presented correctly.
- Manage pre-construction correspondence and filing — ensuring all emails, documents, and records are organised, accessible, and up to date.
- Liaise with clients, subcontractors, and suppliers to chase and collate information required for live bids.
- Support the coordination of site surveys and pre-construction visits — booking appointments, confirming access, and circulating relevant information to the team.
- Assist with the preparation of handover packs for won projects, ensuring information is transferred accurately to the delivery team.
- Produce reports, summaries, and updates for the Pre-Construction Manager as required.
- Contribute to the continuous improvement of pre-construction administration processes and templates.
Skills, Knowledge & Expertise

- Experience in an administrative, coordinator, or support role within construction, pre construction, or a closely related environment.
- Excellent organisational skills — able to manage a busy workload, juggle competing priorities, and meet deadlines consistently.
- Strong attention to detail — accurate and thorough in all documentation, data entry, and correspondence.
- Clear and professional communicator — comfortable liaising with internal teams, clients, and suppliers by phone and email.
- Proficient in Microsoft 365 — particularly Outlook, Excel, Word, and Teams.
- A positive, proactive team player who takes pride in keeping things organised and running smoothly.
- Midlands-based and available full time.
