As our Office Assistant, you’ll play a central, hands-on role in keeping the business running smoothly. You’ll assist with key operational processes, internal communications, and be entirely responsible for the office management. In this role, you’ll support day-to-day business activity, ensure smooth running of the office space, and help create an engaging, well-organised environment for the wider team. With strong onboarding and training provided, you’ll join Harmonic at a very exciting time as the company continues to grow and expand.
Based in the heart of Shoreditch in London, we are a values-led recruitment agency with an inclusive and non-corporate culture – we also became B Corp Certified in 2022! Harmonic supply Finance and Operations professionals to start-up and scale-up businesses. We work with some of the most exciting organisations in Europe, ranging from ground-breaking technology start-ups (Fintech, Software, AI, Robotics, Electronics, BioTech) and record labels through to major fashion labels, vegan food start-ups, leading interior designers and media businesses.
Key Responsibilities- Recruitment Administration: Assisting with the registration of placements onto our CRM database, ensuring data entry is accurate. Responsible for managing the Harmonic placements inbox and action requests accordingly. Support the business with incoming calls.
- Office & Facilities Support: Tidying and maintaining a clean, organised office environment. Ordering office supplies and equipment as required. Restocking the office including stationery, food and drink. Assisting with general office upkeep. Main point of contact for external IT provider including logging IT issues. Maintaining asset registers (laptops, keys, passes). Communicating with facilities and maintenance.
- Front of House & Administration: Helping to track, record, and audit company targets. Managing incoming and outgoing post and deliveries. Answering the phone and directing enquiries appropriately. Welcoming candidates, clients, and visitors in a professional and friendly manner. Helping organise team lunches, celebrations, and socials. Assisting with the coordination of internal events, meetings, and company activities. Supporting the organisation of social impact initiatives, wellbeing initiatives and internal communications. Assisting with the preparation and creation of monthly meeting materials (e.g. agendas, packs, presentations). Assisting with meeting room bookings and scheduling. Working with the wider team to book travel and accommodation for team members when required. Supporting general administrative tasks across the business.
- Ad-Hoc Support: Assisting with onboarding new starters (desk setup, passes, equipment). Providing general support to the wider team as needed. Assisting with ad-hoc projects and tasks to support office operations. Supporting the setup and use of new systems and tools.
- Essential: Strong organisational skills and attention to detail. Friendly, professional manner with good communication skills. Willingness to learn and take initiative. Basic IT skills (email, Microsoft Office, Teams, Zoom). Ability to manage multiple small tasks effectively.
- Desirable: Previous office, admin, or customer-facing experience.
