About Harlequin Design
Harlequin Design is an independent, award-winning global design agency founded in 1994. With studios across the UK, Europe, the US, China, and the Middle East, we deliver end-to-end retail and commercial environments—from concept and design through manufacture, logistics, and installation. We partner with some of the world’s most recognisable brands to create immersive, premium environments that bring brand stories to life. Our approach is highly collaborative, detail-driven, and fast-paced, supporting clients at every stage of the journey from initial sketch to final installation.
Due to continued international growth, we are seeking an experienced Senior Project Manager to join our global project delivery team, based in London.
The Role
The Senior Project Manager will take full ownership of complex, multi-market retail and commercial projects, acting as the primary client liaison and internal lead from briefing through to final handover. You will manage multiple concurrent projects, coordinate suppliers and production partners, and ensure projects are delivered on time, on budget, and to the highest quality standards.
Reporting day-to-day into the Associate Director Projects and Client Services and CEO, this role requires a highly organised, commercially astute project leader with strong experience across design‑led environments, production, and installation.
Key Responsibilities
- Act as the main client contact for allocated accounts, building strong, trusted relationships.
- Manage and support multiple client accounts simultaneously, overseeing up to 10+ live projects.
- Take detailed creative and production briefs from clients and translate them clearly to internal teams and external suppliers.
- Ensure client expectations are met or exceeded at every stage of the project lifecycle.
- Develop and manage project timelines, critical paths, and delivery schedules across multiple markets.
- Prepare project quotations, often under tight deadlines, ensuring commercial viability and profitability.
- Own full budget management: reconciliation, cost control, invoice review, and purchase order management.
- Manage store allocations, rollouts, and logistics for large‑scale, multi‑location retail programmes.
- Oversee and coordinate global production, technical, and logistics teams.
- Source materials, finishes, props, and specialist suppliers for bespoke projects.
- Obtain and evaluate comparative supplier quotes, ensuring best value and quality.
- Conduct supplier factory visits where required, with a strong understanding of materials and finish standards.
- Manage and attend installations, overseeing snagging, variations, final handover, and client sign‑off.
- Work closely with design, technical, production, and logistics teams.
- Demonstrate exceptional written and verbal communication skills with clients, suppliers, and internal stakeholders.
- Maintain a calm, organised, and solutions‑focused approach in a fast‑paced environment.
About You
- Proven experience as a Senior Project Manager within retail, commercial interiors, visual merchandising, or production‑led environments.
- Strong understanding of the full project lifecycle: design, manufacture, logistics, and installation.
- Experience managing multiple complex projects concurrently across different regions.
- Commercially minded, with strong budgeting and financial reconciliation skills.
- Highly organised with exceptional attention to detail and the ability to multitask effectively.
- Confident working with global suppliers, production partners, and installation teams.
- Proficient in Excel, Word, and project management systems.
- Willingness to travel internationally as required.
What We Offer
- Competitive salary dependent on experience.
- Company laptop and mobile phone.
- 25 days annual leave +1 additional day for your Birthday.
- Hybrid role between the London Studio based in Clerkenwell and Remote. Occasionally you will be required to travel to our production facility in Stevenage.
- The opportunity to work on high‑profile global brands within a collaborative, creative studio environment.
