Office Manager Location: Tiverton, Devon Salary: £30,000 – £38,000 per annum, depending on experience Hours: Monday–Friday, 8:30am–5:00pm Contract: Full-time, Permanent Reporting to: Managing Director / Directors Interview: In-person interview at the company's main office in Tiverton, Devon About the Company Our client is an established, Devon-based construction company with more than 30 years of experience delivering residential and commercial projects across Devon, Somerset and the wider South West. With offices in Tiverton and Exeter, the business has built a strong reputation for combining traditional construction expertise with modern processes, technology and high standards of project management. The company works across a wide range of projects, including: New build homes Commercial construction House extensions Barn conversions Property renovations Design & build projects Public sector and framework projects The business is also ISO-accredited and works closely with subcontractors, suppliers, clients and professional partners across the region. About the Role We are looking for an experienced and highly organised Office Manager to take responsibility for the smooth day-to-day running of the company's Tiverton office. This is a varied role covering office administration, finance, HR, compliance, health & safety and project support . You will be an important part of the business and will act as a central point of contact for directors, employees, clients, subcontractors and suppliers. The successful candidate will be someone who enjoys being organised, takes ownership of their workload and is confident managing several different priorities at the same time. Interview Process Please note: Candidates selected for interview will be required to attend an in-person interview at the company's main office in Tiverton, Devon . Candidates should therefore be comfortable travelling to Tiverton for the interview and, if successful, working from the Tiverton office on a full-time basis. Key Responsibilities Office Management Manage the day-to-day running of the Tiverton office. Act as the first point of contact for calls, visitors, clients, suppliers and subcontractors. Manage office supplies, equipment and facilities. Liaise with external IT and other service providers when required. Maintain organised digital and paper filing systems. Ensure company and project documentation is stored correctly and kept up to date. Finance & Administration Process purchase orders and supplier invoices. Process subcontractor payment applications. Reconcile receipts and manage petty cash. Prepare information for the company's external accountant. Support sales invoicing and credit control. Monitor outstanding invoices and assist with debt chasing. Maintain accurate financial and supplier records. Prepare regular reports and information for the directors. Compliance & Document Control Maintain company processes and documentation in line with ISO requirements. Manage subcontractor onboarding and ensure the correct documentation is in place. Check and maintain records including insurance certificates, RAMS, qualifications, CIS information and training records. Monitor company accreditations, insurance policies and renewal dates. Assist with audits and ensure documentation is kept up to date. Support health & safety administration and site documentation. HR & People Administration Maintain accurate employee records. Manage holiday and sickness records. Assist with employee onboarding and offboarding. Maintain right-to-work and training records. Arrange training and courses where required, including CSCS, SMSTS and First Aid. Liaise with external HR and payroll providers. Project Administration Set up and maintain project files for new contracts. Ensure project documentation is kept organised and up to date. Liaise with site managers, architects, clients and subcontractors regarding documentation. Assist with tender submissions and framework applications. Support the administration of public sector contracts and projects. About You We are looking for someone who is organised, reliable and confident working independently. Essential Experience & Skills Previous experience as an Office Manager, Senior Administrator or similar role. Strong administration and organisational skills. Excellent attention to detail. Confident communicating with clients, suppliers, subcontractors and senior management. Good understanding of basic bookkeeping and financial administration. Experience using Microsoft Office / Microsoft 365, particularly Outlook, Word and Excel. Comfortable managing confidential financial and employee information. Able to manage multiple priorities and work to deadlines. A proactive approach with the ability to identify what needs doing and take ownership. Full UK driving licence and access to your own vehicle. Construction Experience Experience within the construction, building, trades or wider built environment sector would be highly beneficial. Knowledge of subcontractor management, RAMS, CIS, construction qualifications, health & safety documentation and project administration would be advantageous. Desirable Experience working within an ISO-accredited business. Experience with Xero, Sage, QuickBooks or similar accounting software. Previous HR administration experience. CIPD Level 3 or similar HR qualification. Experience supporting tenders or framework agreements. Public sector contract administration experience. Health & Safety knowledge or an IOSH qualification. Reliable and trustworthy , particularly when dealing with financial and employee information. Professional and approachable , with confidence dealing with people at all levels. Proactive , rather than waiting to be told what needs doing. Calm under pressure and able to prioritise effectively. Practical and solutions-focused . Confident working independently while also being a strong team player. What the Role Offers Full-time, permanent position. Competitive salary of £30,000–£38,000 , depending on experience.
