As we continue to grow, we’re seeking an experienced and proactive Office Coordinator to ensure our operations run smoothly and efficiently.

Position Overview

The Office Coordinator will play a key role in supporting the daily administrative, financial, and operational functions of Harbour Automation Ltd. This individual will be responsible for maintaining a well‑organised office, supporting management, and engineering teams, and helping to streamline internal processes.

Key Responsibilities

  • Oversee the day‑to‑day running of the office, ensuring a professional and productive working environment.
  • Manage correspondence, phone calls, and enquiries.
  • Maintain and organise office supplies, equipment, and utilities.
  • Diary management and travel arrangements.
  • Assist with financial tasks, including invoice processing and expense tracking.
  • Support job and task scheduling, documentation, and communication between clients.
  • Ensure health and safety and fire procedures and compliance documentation are up to date.
  • Liaise with suppliers, contractors, and clients as needed to support operational efficiently.

Skills & Qualifications

  • Proven experience as an Office Coordinator, Administrative Coordinator, or similar role.
  • Strong organisational and multitasking abilities with excellent attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Strong communication and interpersonal skills.
  • Overview of Xero desired.
  • Ability to work independently and as part of a collaborative team.
