As a Senior Office Administrator, you will provide high-quality administrative and coordination support across the practice, helping to manage communications, oversee office systems, coordinate diaries and documentation, and maintain effective processes.

Key Responsibilities:

  • Act as a key point of contact for clients, visitors, and incoming calls, ensuring all enquiries are handled professionally and efficiently.
  • Provide senior-level administrative support to solicitors and the wider team across a range of daily office activities.
  • Draft, format, and manage correspondence including letters, emails, reports, legal documents, and internal communications.
  • Coordinate calendars, appointments, meetings, and diary schedules, helping to ensure priorities are managed effectively.
  • Prepare meeting documentation, take accurate minutes where required, and follow up on actions to support workflow and organisation.
  • Maintain and oversee both digital and paper filing systems, ensuring records are accurate, organised, and easily accessible.
  • Support document management processes, including scanning, copying, file preparation, and general case or office administration.
  • Help monitor office procedures and administrative systems, identifying opportunities to improve efficiency and support best practice.
  • Order and manage office supplies, liaise with external suppliers where needed, and help maintain a well-organised office environment.
  • Provide day-to-day guidance and support on administrative tasks, acting as a reliable senior presence within the office team.

Person Specification / About You:

We’re looking for a professional, capable, and proactive individual who is comfortable taking ownership of responsibilities and working effectively in a busy office setting. You will be highly organised, confident in managing multiple tasks, and able to communicate clearly with colleagues, clients, and stakeholders at all levels. You should bring:

  • Proven experience in a senior administrative, office administration, secretarial, or coordination role.
  • Previous experience in a legal, professional services, or fast-paced office environment would be highly desirable.
  • Strong organisational and time management skills, with the ability to prioritise workloads and meet deadlines.
