Happy Jobs NI is delighted to be representing On Track Technicians, also known as OTT, in the recruitment of two part-time Office Administrators to support their growing team. OTT is a family-run railway infrastructure business based in Lisburn, providing specialist support across rail, civil engineering and safety-critical works. Due to continued growth, the company is now seeking organised, reliable and proactive Office Administrators to provide essential support across the business.

The role will be varied and hands-on, offering the opportunity to support a range of administrative functions including office coordination, document management, operational support, HR administration and general business support. These opportunities would suit candidates with experience as an Office Administrator, Administrative Assistant, Office Coordinator, Business Support Administrator, Operations Administrator, HR Administrator or PA.

The successful candidates will play an important role in keeping office processes organised, supporting internal teams, maintaining accurate records and helping ensure smooth day-to-day communication across the company.

Key Responsibilities
  • Provide general administrative support across the office and wider business
  • Manage emails, phone calls, correspondence and internal communications
  • Prepare letters, reports, documents, presentations and other business paperwork
  • Maintain accurate digital and paper-based records and filing systems
  • Support document control, compliance records and audit preparation
  • Assist with HR administration, training records and employee documentation
  • Provide operational administration support to internal teams
  • Update company systems with accurate information and data
  • Coordinate meetings, appointments, briefings and follow-up actions
  • Liaise professionally with suppliers, contractors, internal teams and external contacts
  • Support purchase orders, invoices, expenses and general finance administration where required
  • Help maintain an organised, efficient and professional office environment
Person Specification / About You

The ideal candidate will be organised, professional and comfortable working in a busy office environment. You should have:

  • Previous experience in an office administration, business support, HR administration, PA or operations support role
  • Strong organisational skills and excellent attention to detail
  • Good communication skills, both written and verbal
  • Confident IT skills, including Microsoft Office and general administrative systems
  • The ability to manage tasks efficiently and prioritise workload
  • A professional and confidential approach when handling sensitive information
  • A positive, helpful and flexible attitude
  • The ability to work well as part of a team and support different departments when required
Benefits
