The predicted salary is between 60000 - 68231 Β£ per year.

This is a broad operational role with responsibility across business operations, systems, compliance, office management, projects and internal infrastructure. The successful individual will help professionalise and scale the business while reducing founder dependency and improving operational efficiency.

Key Responsibilities

  • Business Operations & Projects
    • Improve, document and optimise operational processes and workflows
    • Lead internal projects and business initiatives from planning through to execution
    • Support leadership priorities and help ensure effective day-to-day business operations
    • Help build a scalable, well-run and operationally mature business
    • Identify opportunities to improve efficiency, consistency and cross-functional collaboration
  • IT, Systems & Infrastructure
    • Manage core business systems, software and user access
    • Work with external IT providers to improve infrastructure, processes and user experience
    • Champion and own the CRM ecosystem, ensuring it remains the single source of truth for operational activity, reporting and business intelligence
    • Drive continuous improvement of CRM features, modules and integrations, improving workflows, adoption, data quality and reporting visibility across the business
    • Maintain oversight of communications and operational platforms to ensure scalability and operational effectiveness
    • Manage supplier and vendor relationships across technology, office and business services
    • Oversee contracts, renewals and negotiations
    • Identify cost-saving, consolidation and process improvement opportunities
    • Manage procurement and supplier onboarding
    • Support commercial decision-making through supplier benchmarking and business case analysis
  • Compliance & Governance
    • Support employment and immigration compliance, including right to work and visa processes
    • Maintain contracts, policies and governance documentation
    • Coordinate with external legal, insurance and compliance advisors
    • Support the implementation of operational controls and governance processes to ensure a scalable and well-run business
  • Office, Events & Team Operations
    • Manage the London office and day-to-day workplace operations
    • Coordinate company events, travel and logistics
    • Ensure a high-quality onboarding experience for new starters
    • Support coordination between the London and New York offices
    • Help foster a professional, organised and high-performing working environment
  • Marketing & Business Materials
    • Support the creation and maintenance of business, marketing and client-facing materials using Canva or similar tools
    • Maintain brand consistency across Hansen Filler and Equitalent
    • Support wider marketing initiatives and maintain template libraries
    • Assist with internal and external business materials, presentations and collateral

Experience & Skills

  • Experience in an operations role within professional services, recruitment or financial services
  • Strong organisational and project management skills
  • Comfortable working across systems, operational tools and CRMs
  • Experience across operational areas including vendors, compliance, facilities and events
  • Strong attention to detail with the ability to prioritise effectively
  • Proficient in Canva or similar design tools
