Hampton School is an independent school. This is a newly created Safeguarding Administrator role to provide high‑level administrative support and ensure compliance with safeguarding and child protection procedures.
Key Responsibilities
- Provide confidential, high‑level support to the Designated Safeguarding Lead and Deputy Designated Safeguarding Leads across the Trust.
- Filter and monitor safeguarding alerts created by pupils via Smoothwall and liaise with the Safeguarding Team.
- Assist with the administration of CPOMs, maintain safeguarding records, administer annual safeguarding audit and follow up on transfer of safeguarding files from feeder schools.
- Maintain records in line with statutory guidance, including Keeping Children Safe in Education, and analyse records to identify and track themes.
- Access absence emails regarding pupils, update SIMS, and communicate with form tutors, nurse and Head of Year.
- Check the visitor management system for late arrivals and update SIMS.
- Run absence reports, prepare emails to form tutors and ensure parents receive absence texts.
- Deal sensitively with parents, other schools, prospective parents and the public on a wide variety of topics, either in person, online or over the phone.
- Assist and co‑ordinate monitoring, assigning and categorisation of whole‑school concerns.
- Provide support with special projects and ad‑hoc duties, and provide confidential support to the Trust SLT with emphasis on safeguarding issues.
- Administer school trips and parent evenings, liaise with staff for diaries, rotations and meetings, and assist with open mornings, prize giving, entrance exams and other events.
- Prepare and minute meetings and interviews where required.
- Maintain accurate records and files, produce and proofread key documents and update the website.
- Provide cover for other administrative staff as required.
Person Specification
- Commitment to safeguarding and wellbeing of pupils.
- Educated to A‑Level (or equivalent) with GCSE in English and Mathematics.
- Warm, cheerful and cooperative disposition; confident and calm under pressure.
- Previous administrative/secretarial experience, organisational and attention‑to‑detail skills.
- Excellent IT knowledge: Outlook, Word, Excel, PowerPoint, MS Teams (or equivalent), strong typing skills.
- Willingness to learn new software and recommend technology solutions.
- Outstanding customer care skills, diplomatic approach in sensitive situations.
- Confidentiality, integrity and discretion.
- Hard‑working, reliable, enthusiastic team player with proactive, flexible, self‑motivated attitude.
- Excellent communication skills, both written and oral; minute‑taking skills.
- High level of emotional intelligence, integrity and sense of humour.
- Experience working with children or young people.
- Awareness of health and safety issues (First Aid training will be provided).
- Experience with SIMS, Evolve, SOCS or similar databases.
- Knowledge of independent education sector expectations.
- Understanding and promotion of the school’s aims and ethos.
Hours, Salary & Benefits
The role is full‑time, Monday to Friday during term time, 8.30am to 4.30pm. Salary will be commensurate with skills and experience and pro‑rated for term‑time working. Training & Additional Duties Required
Safeguarding Level 3 training will be provided. The post holder may act as Fire Marshal and First Aider as required, and undertake other reasonable tasks assigned by the Deputy Head, Headmaster or Bursar.
