We are currently looking to recruit a legal PA/admin assistant on a permanent full-time basis at our Sheffield City Centre office. You will be responsible for providing high standard ongoing effective and proactive legal PA/administrative support to ensure the efficient running of the office as a whole and also provide support nationally across the other branches.
We are looking for someone with experience of working within the legal sector (experience of family law would be a distinct advantage) who has the required IT, communication and practical skills and who are interested in progressing their career in one of the most dynamic law firms in the country.
KEY TASKS AND RESPONSIBILITIESThe successful candidate will be responsible for:
- Legal PA duties
- Audio and copy typing/drafting of correspondence, court forms, pleadings, documents and file notes, together with assembly/collation of all letters and documents and sending out
- Preparation of electronic and hard copy court bundles
- Copying and scanning (the Sheffield office is paperless)
- Opening and closing files and assisting with archiving
- Collection/delivery and distribution of any incoming and outgoing post
- Ensuring all files are kept up to date, filing of all correspondence/documents and assistance with maintenance of files
- Diary management/arranging meetings, hearings and conferences with clients/counsel/in-house/third parties as appropriate
- Assisting with organising events, meetings and assisting with travel and hotel arrangements
- Answering incoming calls and dealing with enquiries and taking detailed messages as appropriate
- Confidently liaising with clients and third parties/stakeholders in person, by email and by telephone
- Compliance with the firm’s policies and procedures
- Receptionist duties/greeting clients/setting up meetings/organising refreshments/lunches for meetings
- Delivery of Instructions to Counsel/court bundles
- Assisting with the monthly billing procedure including sending bills and letters to clients
- Ensuring and maintaining the condition of the office to a high standard
NB – The list of duties is not exhaustive and the post holder may be asked to carry out other duties appropriate to your grade and experience through discussion with the Office Manager. Some elements of this role may occasionally be either more or less demanding than defined herein.
