An exciting new opportunity has arisen for a People and Operations Coordinator, working for our client, a busy and growing company based near to Bury St Edmunds.
As a People and Operations Coordinator, you will provide high-level support to the senior leadership team. This is a varied and influential role that combines executive support, people operations, business administration, facilities coordination and continuous improvement. Working closely with the Managing Director, HR Manager and Leadership Team, you will help bring structure, organisation and accountability to the business while supporting the development of efficient systems and ways of working.
The successful candidate will be a proactive, highly organised professional who thrives in a fast-paced environment and can confidently manage multiple priorities with discretion and professionalism.
Responsibilities:
- Provide high-level executive support to the Managing Director and Leadership Team, acting as a trusted and proactive business partner.
- Manage complex diaries, schedules, meetings and competing priorities.
- Coordinate leadership meetings, agendas, minutes, action logs and follow-up activities, ensuring actions are completed in a timely manner.
- Prepare professional reports, presentations, correspondence and meeting materials.
- Support company-wide communications.
- Prepare employment contracts, offer letters and employee correspondence.
- Maintain accurate employee records, HR systems and personnel documentation.
- Coordinate onboarding, inductions, probation processes and employee lifecycle activities.
- Support managers with absence management, return-to-work processes and general people administration.
- Maintain training, compliance and people-related records.
- Coordinate recruitment administration and candidate communications.
- Produce HR reports, management information and people metrics.
- Support employee wellbeing, engagement and recognition initiatives.
- Prepare and validate payroll information for submission to the external payroll provider.
- Process payroll changes, including starters, leavers, salary amendments and employee updates.
- Manage payroll queries, pension administration and employee expenses.
- Maintain accurate payroll, expense and financial records.
- Create, maintain and analyse trackers, dashboards and management reports.
- Ensure data accuracy across multiple business systems and platforms.
- Identify opportunities to improve efficiency through technology, automation and process improvement.
- Support the implementation of new systems, tools and ways of working.
- Oversee the smooth day-to-day running of the office environment.
- Coordinate facilities management, maintenance activities and contractor relationships.
- Manage office supplies, purchasing and supplier relationships.
- Support Health & Safety administration and compliance requirements.
- Organise employee events, wellbeing initiatives and company activities.
- Build strong working relationships across office-based and operational teams, contributing to a positive and collaborative workplace culture.
- Drive continuous improvement initiatives, helping to develop scalable and efficient business processes.
Requirements/Experience:
Essential
- Experience in a business support, administration, coordination, operations support or executive assistant role.
- Excellent organisational and planning skills.
- Strong Microsoft 365 skills, particularly Outlook, Excel, Teams and PowerPoint.
- High levels of digital literacy and confidence working across multiple systems.
- Excellent written and verbal communication skills.
- Strong attention to detail and accuracy.
- Ability to handle confidential information appropriately.
- A proactive, solutions-focused approach.
Desirable
- Experience using HR systems.
- Previous HR, recruitment or payroll administration experience.
- Experience supporting senior leaders or leadership teams.
- Experience creating reports, trackers or automated workflows.
- Experience within a manufacturing, engineering or industrial environment.
