HAIL is partnering with a leading Private Equity firm who are seeking a highly accomplished Executive Assistant to provide first-class support. This role requires a polished, proactive, and resourceful individual who thrives in a fast-paced, high-pressure environment and understands the unique demands of financial services at the highest level.
You will a busy Deal team and work closely together to ensure seamless support and a positive working environment.
Key Responsibilities
- Executive Support: Provide seamless, high-level support to the Partner and their team.
- Diary Management: Coordinate complex, ever-changing diaries across global time zones with absolute accuracy.
- Travel Management: Organise multi-leg international travel itineraries, including flights, transfers, accommodation, and visas.
- Meeting Coordination: Schedule and prepare for board meetings, client presentations, and internal strategy sessions, ensuring all materials are accurate and distributed in advance.
- Expense & Financial Administration: Prepare and process expenses, invoices, and corporate card reconciliations with accuracy and timeliness.
- Deal knowledge: Engaging with the team to develop a clear understanding of live deals the team are working on.
Candidate Profile
The successful candidate will bring:
- Proven EA experience gained within private equity, investment management, or a similar financial services, fast-paced environment.
- Exceptional organisational skills, with the ability to prioritise under pressure and manage conflicting demands seamlessly.
- Strong business acumen, able to understand the context of projects and anticipate needs without direction.
- Excellent communication skills, both written and verbal, with the ability to engage credibly with senior stakeholders.
- High attention to detail and a track record of delivering to exacting standards.
- Cultural agility, comfortable working across different geographies and time zones.
- Tech proficiency, with strong MS Office skills (Outlook, Excel, Word, PowerPoint) and experience with business systems such as Concur, Workday, or similar.
