HAIL Partners are working with a high-performing, growing investment firm to hire a Team & Office Assistant for their London office. This is a varied and highly visible role, ideal for someone who enjoys being at the heart of an office while also supporting investment professionals in a fast-paced environment. Role Responsibilities:
- Coordinating domestic and international business travel
- Preparing and submitting expense reports accurately and on time
- Organising internal and external meetings, including catering, dial-ins, video conferencing and materials
- Providing cover and support to other members of the admin team as required
- Supporting ad hoc projects
- Ensuring the office runs smoothly and maintains a professional, polished environment
- Managing vendors and suppliers and overseeing service standards
- Invoice processing and budget tracking
- Coordinating routine maintenance and liaising with building management
- Reception cover, meeting room management and welcoming visitors
- Overseeing office supplies and equipment
- Coordinating office events and social initiatives
- Supporting wider administrative projects as needed
Role Requirements:
- Background in financial services or a similarly fast-paced, professional environment preferred
- 3-5 years’ experience supporting investment professionals and/or office management
