From coordinating event logistics to building partner relationships, use your organisational skills to support high-profile clients across the events industry. Our corporate speaking and conventions department is looking for an experienced assistant. This role is the ideal opportunity for someone excited by the challenge of working with the full range of ITG's clients and with the skill set to adapt, learn and assist efficiently. Administrative experience is key; some experience working within the creative industry would be beneficial but is not a necessity.

Responsibilities

  • Handling incoming emails and calls
  • Organising and maintaining the work in progress log, suggestion lists, client bios and headshots
  • Arranging logistics for client events
  • Managing the office diary
  • Liaising with other ITG departments regarding offers for their clients
  • Managing client paperwork including the sending out and tracking of contracts
  • Raising invoices, completing new supplier forms and tracking all incoming/outgoing payments for clients
  • Attending events with clients, both in the UK and abroad
  • Building and maintaining relationships with ITG clients, speaker bureaux and convention contacts
  • Maintaining client information on the ITG Corporate webpage

Knowledge, skills and experience

  • Excellent organisational and logistical skills
  • An ability to multitask, problem solve and react quickly to ever-changing situations
  • Excellent communication skills and a confident phone manner
  • A working knowledge of the industry and a genuine interest in speaking and appearances
  • A willingness to learn and develop in the role
  • Computer skills and ability to grasp basic software
  • Previous experience in invoicing would be a bonus

Additional information

You’ll primarily be based in our main office at Whitfield Street, normal office hours will be 9.30am to 6.30pm Monday to Friday, although some flexibility is required. This role will include attendance at some evening events, both in London and the UK more widely. Please note this role is not suitable for anyone with a spotlight profile.
