Gymkhana is on the lookout for a dedicated and dynamic Reservations and Administration Assistant to become an integral part of our team. The successful candidate will be approachable, personable and passionate about the London dining scene.

This is a fantastic opportunity for an experienced and proactive Reservations and Administration Assistant looking for an opportunity in an award-winning, critically acclaimed group.

The Role

This is a multifaceted role where, as Reservations and Administration Assistant, you will manage and coordinate our reservation and office administration, in order to ensure a seamlessly efficient operation by supporting the site management team and each department with various administrative tasks.

  • Responsible for the day-to-day operations of Reservations.
  • Ensuring you effectively respond to reservation inquiries via telephone and email, communicating with the restaurant regarding bookings, cancellations, and special requests, and providing exceptional customer service throughout.

The successful Reservations and Administration Assistant will have:

  • Previous experience as a Reservationist; Office administrator or Reservations Agent
  • A professional telephone manner
  • Proficient working knowledge of Microsoft Office programs
  • Good time management and organizational skills
  • A friendly but professional work ethic
  • Extensive knowledge of reservation systems (SevenRooms, but not essential)

Duties include:

  • Manage the VIP phone
  • Handle reservation inquiries across all communication channels efficiently
  • Process and manage bookings according to company policies and procedures
  • Maintain accurate guest records and preferences in booking systems
  • Optimise table allocation and capacity management
  • Handle VIP and special requests professionally
  • Coordinate with restaurants on specific booking requirements
  • Manage waiting lists and cancellations effectively
  • Respond to social media messages

Administration

  • Support various administrative tasks, including Rotas/S4, FSH, health & safety, notice boards, Notion, and Thrive
  • General IT support across the site, ensuring our EPOS, WIFI, and all other systems are functioning and fit to operate
  • Responsible for Fire Safety and Health and Safety procedures
  • Adhoc ordering, and management of all stationery and office equipment
  • Responsible for recording and logging all maintenance requirements
  • Support ordering equipment including stationary, uniforms, crockery
  • Organising and preparation of invoices
  • Manage inbox and correspondence effectively
  • Supporting team members with company procedures and policies
  • Ensure excellent communication with guests throughout the booking process

If you have experience in the following, then we want to hear from you:

  • Prior experience in reservations or restaurant administration in a fast-paced restaurant
  • Welcoming our guests and colleagues, always communicating in a professional and friendly manner
  • Experience managing multiple software relating to transactions, ordering, payroll, etc.
  • Understanding of restaurant operations (preferred)
