Job Purpose
We are seeking an experienced, proactive and organised Dental Practice Manager to oversee the day-to-day management and performance of two busy dental practices. This leadership role is responsible for ensuring operational excellence, regulatory compliance, developing and supporting staff, driving business performance, and growing private dental services. Working closely with the Principal Dentist(s) and clinical team, the Practice Manager will ensure both practices deliver exceptional patient care while meeting financial and operational objectives.
Key Responsibilities
- Practice Operations: Oversee the smooth daily operation of both practices. Ensure compliance with Healthcare Inspectorate Wales (HIW), GDC, GDPR, Health and Safety legislation, and all relevant Welsh dental regulations. Develop, implement and maintain practice policies and standard operating procedures. Identify opportunities to improve operational efficiency and patient experience.
- Audits and Compliance: Plan, complete and monitor clinical and non-clinical audits. Maintain full HIW compliance and ensure practices remain inspection-ready at all times. Monitor infection prevention and control standards. Complete regular health and safety, radiography, decontamination and record-keeping audits. Implement and monitor action plans following audit findings.
- Human Resources: Lead recruitment, induction and onboarding of new team members. Manage staff rotas, annual leave and workforce planning. Conduct probation reviews, one-to-one meetings and annual appraisals. Support staff development through training and performance management. Promote a positive, supportive and accountable team culture.
- Business Performance: Monitor and report on key performance indicators (KPIs). Work with clinicians and reception teams to achieve agreed monthly targets. Monitor diary utilisation, cancellation rates and appointment efficiency. Analyse business performance and identify opportunities for growth and improved profitability.
- Private Treatment Coordination: Support clinicians in promoting private treatment options. Coordinate treatment plans from consultation through to completion. Discuss treatment options and finance solutions with patients. Follow up outstanding treatment plans to maximise treatment acceptance. Help increase private revenue through effective patient communication and service delivery.
- Financial Responsibilities: Monitor daily income and financial performance. Assist with budgeting and cost control. Work alongside the Principal Dentist(s) to achieve financial objectives.
- Patient Experience: Deliver an exceptional patient journey across both practices. Manage patient feedback and complaints professionally. Ensure consistently high standards of customer service.
Person Specification
Essential:
- Previous experience as a Dental Practice Manager.
- Excellent knowledge of HIW standards and Welsh dental regulations.
- Strong leadership and people management skills.
- Experience managing compliance, audits and HR processes.
- Excellent organisational and communication skills.
- Ability to work independently across multiple practice locations.
Desirable:
- Experience in private dentistry and treatment coordination.
- Knowledge of dental practice management software.
- HR or leadership qualifications.
- Experience managing multiple dental sites.
