The Role

We are looking for a Legal Secretary / Legal Assistant to join our Real Estate Finance Partner in London. As a Legal Secretary/Legal Assistant you will be joining an outstanding Real Estate Finance Partner. You will be a key member of the department, with the responsibility of assisting the fee earners but also being very much involved in the transactions. The ideal candidate will have a good working knowledge of all stages of Commercial Property transactions.

Your responsibilities will include but not be limited to:

  • Opening and closing of files
  • Drafting client care letters
  • Conducting compliance, KYC and ID checks
  • Dealing with redemptions and further advances
  • Carrying out property searches and liaising with the Land Registry
  • Completion and post completion administration; to include companies house and Land Registry applications
  • Diary Management (inputting deadlines and reminders)
  • Monitor emails and respond where necessary and applicable
  • Manage external networking events
  • Preparing Lease Reports and other document summaries
  • Scheduling Title Deeds and Documents
  • Applying for official copy register entries from Land Registry
  • Be responsible for bills, invoices and expenses
  • Audio typing documents and correspondence
  • Recording all client and matter details on the case management system, ensuring details are kept up to date
  • Office duties including filing, scanning, photocopying etc

This role is suitable for individuals with previous paralegal experience in the property space who wish to step into a Top 75 law firm. The position is to be based in our central London office, on a hybrid working model.

Personal Specification

To be successful in the role, you will have prior experience in Property Law as a legal assistant or secretarial experience. You will have strong experience using Microsoft Office, Adobe, DocuSign and more. You will be pro-active, efficient, organised, keen to take the initiative and to drive transactions forward. The ideal candidate will also be able to demonstrate:

  • Excellent communicator, both written and oral
  • Commercial awareness
  • Accuracy and strong attention to detail
  • Be self-motivated and have a strong interest in property
  • Ability to build strong rapport and to establish and maintain effective working relationships with clients and colleagues at all levels
  • Strong IT skills (specifically Outlook, Microsoft Excel/Word and Data Rooms)
  • Ability to plan work and prioritise tasks
  • Ability to take initiative with tasks
