Junior Buyer

About Gulmay - We are a world-leading manufacturer of high-voltage X-ray generators, controllers, and complete X-ray subsystems used in medical research, security, and industrial non-destructive testing (NDT).

We provide equipment for sectors like aerospace, automotive manufacturing, and baggage screening.

We are looking for a Junior Buyer to work in our Byfleet Office.

This position requires on-site presence and is not a remote role.

Key Responsibilities for Junior Buyer role

  • Junior Buyer will raise, process, and maintain purchase orders within the ERP system in accordance with approved requests and business requirements.
  • Junior Buyer will support Buyers with order placement, order acknowledgements, supplier follow-up, and general purchasing activities.
  • Junior Buyer will ensure purchase orders are maintained with accurate pricing, quantities, delivery dates, and supplier references.
  • Attach and maintain supplier quotations, order acknowledgements, certificates, and correspondence within ERP records where required.
  • Process routine, low-value, and administrative purchasing requirements.
  • Support the resolution of purchase order discrepancies and order administration queries.
  • Set up and maintain supplier records within the ERP system, ensuring supplier master data remains accurate and up to date.
  • Monitor and control changes to supplier information, including banking details, addresses, tax information, contact details, and risk-related data, ensuring all changes are appropriately approved and documented.
  • Support supplier compliance activities by maintaining supplier documentation and ensuring records are complete and current.
  • Manage the filing, storage, and organisation of supplier agreements and commercial documents, including:
  • Non-Disclosure Agreements (NDAs)
  • Goods Supply Agreements (GSAs)
  • Goods Supply & Development Agreements (GSDAs)
  • Standard Terms & Conditions (T&Cs)
  • Maintain central contracts register, ensuring accurate version control, document traceability, key date monitoring, and timely renewal planning.
  • Ensure relevant supplier agreements and contractual documents are correctly stored, accessible, and linked to associated purchase orders and supplier records where applicable.
  • Support supplier performance reviews by maintaining accurate supplier information and documentation
  • Junior buyer will work collaboratively with Buyers, Material Controllers, Stores, Goods In, Production, Engineering, Quality, Finance, and other stakeholders
