THE PURPOSE
The Operations Assistant will play a key part in delivering excellent customer service to both customers and suppliers, contributing to the smooth planning and delivery of events through a positive, can-do approach. This role is ideal for someone starting their career or moving into the sports travel industry. You’ll quickly learn internal systems and support event delivery by managing bookings, customer documentation, spreadsheets, and communications via phone and email. You’ll thrive in a fast-paced environment, balancing multiple tasks while remaining calm, energetic, and flexible. A willingness to travel in the UK and overseas, support event delivery on the ground, fulfil merchandise orders, and prepare customer and staff documentation and briefings is essential to ensuring outstanding customer experiences.
YOU’LL BE DOING
- Supporting the Event Manager and wider team to deliver successful travel programmes, balancing excellent customer service with strong commercial results
- Acting as the first point of contact for customer enquiries via phone and email
- Proactively communicating with customers and suppliers, providing timely updates on bookings and arrangements
- Creating clear, accurate, and engaging event documentation for customers
- Supporting credit control processes
- Assisting with pre-event staff briefings to ensure smooth delivery
- Maintaining accurate, up-to-date event web pages while identifying opportunities for additional products and revenue
- Creating and managing bookings within the reservations system
- Reviewing customer feedback, producing reports, and supporting team responses and improvements
- Using platforms such as SurveyMonkey and Dotmailer to deliver mass communications
- Running reports to support stock control and inventory management
- Packing merchandise and fulfilling customer bookings
- Contributing to post-event debriefs, sharing insights and feedback
- Creating and issuing invoices accurately and on time
- Supporting the sales team by responding quickly to quote requests to help achieve sales targets
