The Club
Golf has been played over the links at Gullane for more than 350 years. We offer a varied range of golfing experiences for Members and visitors alike, combining a major role in the history of golf in Scotland, great golfing conditions, and a truly spectacular environment.
The Club is home to over 1700 Members, who enjoy the benefits of playing on three fantastic courses, including our championship Gullane No.1 course which was a previous host venue for the ASI Scottish Open and Ladies Scottish Open.
About the role
The Finance & Administration Manager plays a central role in the successful operation of the Club by leading the financial and administrative functions and supporting the operational departments. As a key member of the Senior Management Team, the postholder will collaborate closely with the Club Secretary and Committee to ensure the Club operates efficiently, aligns with strategic goals, and delivers excellent service to its Members.
Key Responsibilities:
- Finance Management
- Manage cash flow, expenditure controls and financial forecasting.
- Oversee all day-to-day financial operations carried out by finance administrative staff.
- Oversee monthly payroll and benefits administration.
- Produce monthly management accounts and variance reports for the Committee and Club Secretary.
- Lead on annual budgeting and quarterly forecasting processes in collaboration with department heads.
- Manage annual audit process and liaise with external accountants as required.
- Ensure compliance with financial regulations and internal controls.
- Assist with implementation of Club policies and procedures across departments.
- Membership & Administration
- Manage the annual membership renewal process in close coordination with the Club Secretary.
- Maintain accurate membership records and oversee member billing and subscriptions.
- Support Member communications with clear, accurate and respectful information relating to all finance and administrative matters.
- Reporting & Governance
- Attend and contribute to Finance Committee and other relevant meetings as required.
- Provide timely and transparent strategic information to aid decision-making by the Club Secretary and Committee.
- Support long-term planning through financial modelling and scenario planning.
- Senior Management & Strategic Support
- Contribute proactively to the development and delivery of the Club’s strategic and operational plans.
- Provide financial operational support to the Senior Management Team.
- Act as a senior leader within the Club, fostering cross-departmental collaboration.
Key Relationships
- Reports to: Club Secretary
- Manages: Finance Team
- Works closely with: Senior Management Team and Club Committees
- Liaises with: External accountants, auditors, insurers, banks and suppliers
Candidate requirements
Essential Skills & Experience:
- Professional qualification in finance (e.g. AAT, CIMA, ACCA).
- Proven experience in financial or commercial management, preferably in a membership-based or leisure organisation.
- Strong understanding of budgeting and financial reporting.
- Excellent interpersonal, leadership, and communication skills.
- Highly organised with attention to detail and the ability to manage multiple priorities.
- Proficient in Microsoft Office (especially Excel), and accounting software systems.
Desirable Skills & Experience:
- Experience within a private members’ club, golf club, or hospitality environment.
- Experience of working with committees, boards, or member-led organisations.
- Understanding of the governance structures of member-owned organisations.
