At Gülermak Renewables we are building the future of renewable energy — and we’re looking for a Document Controller who wants to help build that future with us. As we continue expanding into the renewable energy sector, we are creating new systems, processes, and ways of working to support our growing portfolio of Solar PV and BESS projects. This is more than a traditional Document Controller role. It is an opportunity to play a key part in shaping and implementing our document management processes from the ground up alongside of highly experienced Senior Document Controller. You will help establish efficient systems and procedures while ensuring that project documentation is organised, accurate, compliant, and accessible across all current project activities. You will work closely with internal teams, clients, contractors, and suppliers to support the smooth flow of information throughout the project lifecycle. The role will involve managing technical documents, drawings, contracts, reports, and project records while ensuring that the latest revisions are properly controlled and distributed. Your responsibilities will include, but are not limited to:
- Document Management
- Receive, register, classify, and track incoming and outgoing documentation
- Maintain document control systems, filing structures, and registers
- Ensure documents are securely stored and easily retrievable
- Manage document numbering, revision control, and version tracking
- Quality Control
- Review documentation for completeness, accuracy, and compliance
- Ensure all documents follow company standards and formatting requirements
- Verify approvals, signatures, and document status prior to release
- Prevent the use of outdated or incorrect documentation
- Coordination & Communication
- Distribute documentation to project teams, clients, contractors, and stakeholders
- Liaise with engineers, project managers, procurement teams, and external partners
- Monitor document submissions, approvals, and project deadlines
- System Administration
- Maintain electronic document management systems (EDMS)
- Update databases, trackers, logs, and registers
- Produce reports on document status and project progress
- Support the implementation and continuous improvement of document control procedures
What you’ll need:
- 3+ years of experience in document control and project support
- Strong organisational and time management skills
- Excellent attention to detail and accuracy
- Strong communication and interpersonal skills
- Proficiency in Microsoft Office, particularly Excel, Word, and Outlook
- Experience using document management systems such as Aconex, SharePoint, Viewpoint, or ASITE
Highly Desirable
- Experience within construction, engineering, Solar PV, BESS, or renewable energy sectors
- Knowledge of ISO standards and quality management systems
- Understanding of technical drawings and project documentation
- HNC/HND qualification in Business Administration or a related discipline, or equivalent experience
