Main purpose of the job: To provide administrative support to the Principal Giving team and its team members. This will include arranging meetings and minute taking, logistical support with events, and dealing with correspondence.
To carry out information gathering activities as required to support drafting of donor materials and preparing for meetings. To ensure full and timely record keeping on our CRM database.
Main duties and responsibilities:
- Draft correspondence on behalf of the Principal Giving team and university leadership.
- Assist with the organisation of tours, visits, and events for prospects and donors.
- Provide calendar coordination as needed for the team and individual team members.
- Coordinate with senior leadership's offices to negotiate their availability for donor visits and events and to ensure that all donor correspondence is sent from their offices in a timely manner that follows processes and procedures.
- Ensure full and timely records of all activity are kept on the database in adherence to set policies and procedures.
- Ensure supporter contact and relationship information on the database is full, tidy, and accurate.
- Attend cross-OVPA meetings on behalf of the team and report back on key points and actions.
- Carry out routine tasks related to the campaign, such as checking data, preparing emails, and recording actions on the database.
- Summarise and take responsibility for key action items from internal and external meetings.
- Carry out a range of information gathering activities as required to support drafting of talking points, preparing for meetings, or assembling proposals.
