Main purpose of the job

To provide first line generalist HR Administrative support to the company and support the delivery of a customer focused, effective, efficient and proactive HR function. Working collaboratively with Line Managers, Finance team, wider departmental/divisional functions and central HR teams. The post holder is expected to act as the initial point of contact for enquiries in relation to local and our HR policies, procedures and is expected to maintain an up-to-date knowledge of our company and Government HR Policies, procedures and guidelines.

Duties and responsibilities

  • HR Advice and Guidance
    • Responding to HR queries, signposting to further information or escalating. Helping to navigate HR processes and teams.
  • Recruitment and Resourcing
    • Coordinating the end-to-end recruitment process on behalf of hiring managers. From recruitment requests to onboarding. Covering Research Projects, substantive, temporary, honorary appointments and casual workers.
    • Editing Job descriptions and advising managers in the recruitment process, adverts and selection process, ensuring relevant approvals have been sought throughout the process.
    • Raising contract requests accurately and in good time, carrying out right to work and reference checks. Ensuring that new joiners receive their contract prior to starting with us.
    • Initiating onboarding activities for new joiners (such as our staff account, IT access, staff directory access etc).
    • Monitoring funding end-dates for contracts, advising the Head of HR Operations on end of funding/termination procedures as appropriate, and submitting Change of Appointment/Change of Funding forms and other related departmental transactions.
    • Making full use of our Applicant Tracking System where applicable to Visiting Research Fellows, ensuring a positive candidate experience and a full audit trail of activity.
  • Compliance
    • Completion of pre-employment administration in line with government guidelines and legislation, (verifying right to work documents, taking up references, CRB COS, GDPR etc.)
  • HR Lifecycle Administration
    • Processing requests for payments/additional payments.
    • Processing timely and accurate requests for changes related to the employee lifecycle.
    • Keeping HR records updated and ensuring accuracy. Utilising our systems and services.
    • Liaising with finance and research teams on matters such as end of contract and suspense clearing.
    • Facilitating arrangements for leavers, ensuring that HR services are informed of leavers in line with payroll cut off dates.
    • Manage all MyService tickets in line with service level agreements.
    • Produce HR reports as required including starters and leavers report.
