Working Pattern: Tue to Fri, 8:00 to 16:00
Role Overview: EQUANS is a global leader in energy services, providing FM, regeneration, technical, and energy services, specialising in smart buildings, green mobility, district energy, as well as renewables. This role provides administrative support to clients and internal teams across the contract.
Responsibilities include:
- Managing day‑to‑day admin tasks, databases, access passes, post handling, reception cover, and meeting support.
- Acting as the first point of contact for clients and internal stakeholders requiring administrative support.
- Managing day‑to‑day administrative tasks including postal scanning, forwarding, and database maintenance.
- Issuing and managing ID badges, access fobs, print cards, site keys, and community service bookings.
- Raising, issuing, and monitoring responsive works orders in line with contract requirements and KPIs.
- Monitoring shared inboxes and responding to queries, escalating issues to management when required.
- Supporting end‑of‑month reporting by capturing data such as overtime and site audit information.
- Ensuring office facilities are fully stocked, compliant, and operational at all times.
- Providing financial administrative support, including tracking purchase orders and cleaning requests.
- Offering reception cover at client sites and supporting council meetings through accurate minute‑taking.
- Working closely with Supervisors and the Soft FM Manager to ensure compliance, service delivery, and customer satisfaction.
