Working pattern: Monday to Friday (9am to 5pm)

Main Purpose of the Role

The Education Administration Support Assistant will provide short-term administrative support to the FLS Education Administration and Student Experience (EASE) Team. The postholder will play a key role in supporting records management activities, including the organisation, archiving, and digitisation of legacy records, while also contributing to the improvement of shared workspaces and administrative processes. The role will help ensure the efficient management of documentation, compliance with data protection requirements, and the creation of a professional and welcoming environment for staff, students, and visitors.

Key Duties and Responsibilities

  • Sort, organise, and archive legacy student and programme documentation in accordance with departmental procedures
  • Scan and digitise paper records while ensuring compliance with data management and data protection requirements
  • Organise, label, and maintain storage systems to improve accessibility and retrieval of records
  • Support the secure disposal of outdated, duplicate, or unnecessary documentation in line with records retention and data protection guidelines
  • Transport documentation, stationery, and other materials between locations as required
  • Assist with the tidying, organisation, and maintenance of office and shared working spaces
  • Contribute to improvements in the physical working environment to ensure spaces are professional, efficient, and welcoming
  • Work under guidance to ensure adherence to records management policies and administrative procedures
  • Carry out checks relating to time-sensitive data during the main assessment period
  • Undertake additional administrative duties appropriate to the grade and nature of the role

General Duties

  • Provide cover and support for colleagues when required
  • Assist with the organisation and administration of events related to designated programmes, where necessary
  • Maintain confidentiality and handle sensitive information appropriately at all times
  • Contribute positively to the effective operation of the wider administrative team

Person Specification

Qualifications, Experience, and Knowledge

Essential

  • Minimum of 5 GCSEs at Grade C/4 or above (including English Language and Mathematics) or equivalent qualification/experience
  • Experience of administrative work within a busy office environment
  • Good understanding of general office administration procedures
  • Strong IT skills, including Microsoft Office applications such as Word, Excel, and Outlook
  • Ability to manage confidential and sensitive information appropriately
  • Excellent organisational skills with strong attention to detail
  • Ability to prioritise workload and meet deadlines within defined timeframes
  • Good verbal and written communication skills
  • Ability to work independently with minimal supervision as well as collaboratively within a team

Desirable

  • Experience of working within a higher education, further education, or teaching and learning environment
  • Experience of records management, archiving, or document digitisation
  • Awareness of data protection legislation and records retention requirements
  • Experience supporting administrative processes within a student-facing environment
