Role type: Full-time

Working shifts: Monday to Friday (9am to 5pm - 36.5 hours per week)

Main purpose of the job: Working as part of a wider programme team(s) to provide specialist administration to designated postgraduate taught (PGT) degree programmes, ensuring effective procedures are adopted and documented for dealing with all aspects of the administration. Assist in achieving a high quality and timely service to current and prospective students and staff related to the designated PGT degree programmes and beyond. Provide support for all matters relating to the teaching and learning activities of students, from enquiry to completion, including supporting committees and processes relating to assessment, student and programme records. The post holder will be part of a wider Faculty team, line managed through the Faculty and expected to be physically located with their wider Faculty team on a regular basis. However, primarily the role holder is likely to be geographically based within the Division that they are supporting and will work closely as part of Divisional programme team(s).

Duties and responsibilities:

  • Student recruitment and admissions: Deal with prospective student enquiries, monitor and process student applications, assist the FMS Marketing and Communications team in student recruitment initiatives, keep academic staff informed on student recruitment policies, support the FMS learning technology team, monitor student attendance.
  • Student induction and support: Co-ordinate start of session arrangements, liaise with Student Support and Wellbeing Services, support students with extenuating circumstances applications, arrange personal tutor allocation.
  • Programme and records administration: Act as a first point of contact for students, create and maintain electronic student files, complete the annual Curriculum Data Maintenance exercise, produce reports, review and improve processes and systems.

Qualifications, experience and knowledge: Minimum of 5 GCSEs at Grade C or above (including Mathematics and English Language) or equivalent, educated to A-level standard or equivalent professional experience, administrative work in a busy office environment, administration in higher/further education or a teaching and learning environment.

Skills and abilities: Be computer literate, demonstrate clear verbal and written communication skills, have good interpersonal skills and the ability to liaise with a variety of people.
