Job Description

We're in need of an Administrative Manager to lead our London team of eleven Executive Assistants supporting our banking teams β€” and to build that function as we grow.

Essential Job Functions

  • Lead and Develop the Team
  • Proven experience managing a team of Executive Assistants or administrative staff directly, ideally a team of eight or more
  • Has run full performance cycles: setting objectives, collecting and weighing feedback from several stakeholders, and calibrating ratings across a team
  • Has handled underperformance directly, including documented conversations and improvement plans, and can show how it was resolved
  • Has contributed to pay, bonus or promotion decisions

Operational and Resourcing Judgement

  • Experience planning coverage across many principals, matching EAs to bankers by working style, seniority and workload
  • A record of keeping service steady through absence, leave peaks and changes to teams
  • Able to spot workload pressure early and act before it causes problems
  • Able to build a clear, evidence-based case for extra headcount

Hiring and Onboarding

  • Has run hiring end to end: defining the role, briefing and managing agencies, screening, interviewing and making the final decision
  • Interviews with structure and can assess judgement, discretion and resilience, not just technical skills
  • Familiar with UK pre-employment steps, such as right-to-work checks, references and background screening, and with structured onboarding

Function Ownership

  • Has set and enforced team standards, protocols and escalation routes
  • Expert user of Microsoft 365, especially Outlook calendar management, and of travel and expense systems such as Workday
  • Comfortable acting as superuser and leading the adoption of new systems or processes
  • Understands records-keeping and compliance obligations in a regulated environment

Personal Attributes

  • High discretion and sound judgement with confidential information
  • Calm and credible with senior, demanding stakeholders; can push back and resolve issues tactfully
  • Fair and consistent, with a sense of accountability that the team trusts
  • Write and speaks clearly and with authority

Preferred Qualifications

  • Sector background: experience in investment banking, private equity, advisory or a similar front-office financial services setting
  • Career path: has worked as a senior EA before moving into management, which gives credibility with the team and a real understanding of desk demands
  • Scaling: has grown a team, building hiring plans, career levels or development paths for EAs
  • Regulatory awareness: familiar with FCA-regulated environments, including the Senior Managers and Certification Regime (SM&CR) conduct expectations, information barriers, and UK GDPR as it applies to employee and client data
  • Employment practice: working knowledge of UK employment practice, such as absence management, flexible working requests and capability processes, and experience working with HR business partners
  • Global coordination: experience coordinating with administrative teams in other regions, such as New York or Hong Kong, on cross-border coverage and shared standards
