Reception UK is an established reception and concierge service. Our vision is to create a reception/concierge service that's unique, bespoke and tailored to our clients' requirements with a focus on superb customer service.
Scope and Accountability
- Ensure the quality of the service provided and create a positive impression of the organisation.
- Prioritise day‑to‑day work and refer complex problems or queries to the line manager or appropriate colleague.
Front of House
- Provide a welcoming, helpful and professional first point of contact to callers and visitors.
- Answer all incoming telephone calls, providing initial information and relevant details.
- Ensure visitors feel valued and prioritised; take messages and follow up where tenants are not available.
- Meet and greet all visitors to the building, providing a friendly, efficient, timely, professional and welcoming environment.
- Keep the front‑of‑house area well presented, tidy and uncluttered; ensure concierge literature is up to date.
- Contribute to monitoring and ordering office supplies and maintaining office equipment.
- Assist with daily tasks such as booking taxis, facilitating post and dry cleaning.
- Be smart and presentable at all times.
- Monitor fly‑tipping and confront residents; recoup charges for non‑removal of offending items.
- Hold and sign for packages; hold keys.
- Patrol the premises at sporadic times throughout the shift.
Control of Services
- Security awareness, key registering, recording & control; liaise with police when necessary.
- Ensure correct operation and continual monitoring of the CCTV system and keep statutory records.
- Direct visitors to their correct destinations within the building.
Cleaning
- Oversee contract cleaning staff and control material usage.
- Ensure cleaning specifications are followed and all work is carried out.
- Advise the Facilities/Management Surveyor of any areas requiring specification updates.
Access Control
- Issue access fobs for new tenants, delete fobs for tenants who have left or lost theirs.
- Prevent unauthorised entry to tenant premises.
- Liaise with tenants regarding access issues.
Repairs
- Notify building management of required repairs.
- Deal with minor repair works where possible.
Building Works
- Ensure contractors are not given site access without prior notification.
- Liaise with onsite building contractors to minimise disruption to tenants.
- Inform immediately of noticeable damage or anticipated problems.
- Ensure contractors working for tenants are aware of regulations governing common areas.
Reporting Responsibility
- The Concierge reports to the Building/Facilities Manager and the RUK Contracts Manager, covering tenant liaison, service levels, building works, contract terms, security procedures, overtime, and other operational matters.
- Detail fire alarm tests/drills and building contractor identities.
- Report plant breakdowns, disrepair, equipment movements, and covenant breaches.
- Provide a weekly health & safety inspection report and diary notes detailing completed and outstanding service work.
Tenant Liaison
- Maintain contact with tenants, deal with requests, complaints, emergencies and disruptions, maintaining a firm but diplomatic relationship.
Improvements
- Constantly review services, recommend and implement improvements where feasible and within budgetary limits.
