We are looking for an editorial administrator to provide administrative and logistical support to a team of editors, reporters and writers. Although primarily you\’ll be supporting the Fashion desk, you will also be part of a wider administration team and may be required to support other editorial features teams from time to time. You will enjoy being the \’go-to\’ colleague for your team. This is a 4 day per week, 12 month fixed term contract.

Responsibilities

  • Plan ahead and book hotels and travel for all team members, in advance and in line with budget, manage the bookings and any changes to these
  • Organise visas and foreign currency requests, accreditation for team members
  • Create and manage itineraries for the team, including making appointments and obtaining and allocating show tickets
  • Carry out research for team on big fashion houses being covered in show reviews
  • Help the relevant editor compile staff rotas and keep these up to date
  • Maintain the diary/planner for holidays and sabbaticals and process weekly sickness and absence returns, communicating changes to your team
  • Act as first point of contact for internal and external incoming calls from readers, PR agencies, contributors
  • On a daily basis enter all contributor commission payments into our in‑house payments system and resolve any payment queries to a satisfactory conclusion
  • Liaise with the relevant contributor, editor and accounts team as necessary
  • Maintain record of all fashion shoot details and expenditure in relation to the budget

Qualifications

  • Proven relevant administration experience, ideally in supporting teams
  • Previous experience of fast‑paced deadline‑driven environment
  • Experience of coordinating complicated travel itineraries would be an advantage
  • Experience of processing invoices or making payments including being comfortable with multiple currencies
  • Knowledge of fashion industry would be desirable
  • Ideally you\’ll have a demonstrable ability to bring a diverse perspective to this role

You’ll have 6 weeks of annual leave per year (pro‑rata, plus bank holidays). Our pension scheme is generous; if you contribute 5% then we will contribute 8‑12% (depending on your age).
