Location: Canterbury
Working Pattern: 15 guaranteed hours per week, working Monday and Tuesday, 9:00am to 5:30pm (with a one-hour unpaid lunch break). Additional hours may be available to provide reception cover during periods of annual leave and other planned absences.

We are looking for a friendly, organised and professional Receptionist & Administrator to join our Canterbury office on a part-time basis. The Role: As the first point of contact for clients and visitors, you will play a key role in creating a welcoming and professional experience. You will also support the firm's new enquiries process, ensuring prospective clients receive a prompt, courteous efficient service. Working closely with colleagues across the office, you will help ensure the smooth day-to-day running of reception while supporting the firm's client onboarding process.
Key Responsibilities
- Reception: Welcoming clients, visitors and contractors in a professional and friendly manner; Maintain a tidy, welcoming and well-presented reception area; Answer, screen and transfer incoming telephone calls efficiently; Respond to general enquiries and direct clients to the appropriate department; Manage incoming and outgoing post and deliveries; Book meeting rooms and prepare them for client meetings where required; Provide refreshments for clients and visitors as appropriate; Carry out general administrative tasks to support the office.
- New Enquiries: Handle new client enquiries by telephone, email and in person; Obtain relevant information from prospective clients accurately and sensitively; Carry out initial conflict checks and client onboarding administration in line with firm procedures; Allocate enquiries accurately using the firm's case management system; Deliver a high standard of client care throughout the enquiry process; Follow up enquiries where appropriate and maintain accurate records.
- General Responsibilities: Work collaboratively with colleagues across the firm to provide excellent administrative support; Maintain confidentiality and comply with GDPR, SRA requirements and firm policies; Provide reception cover during periods of annual leave and other planned absences where available; Undertake any other reasonable administrative duties appropriate to the role.
Person Specification
Essential: Previous experience in a receptionist, front-of-house or customer service role; Excellent communication and interpersonal skills; Professional, approachable and confident manner; Strong organisational skills with excellent attention to detail; Good IT skills, including Microsoft Office; Ability to prioritise workload and remain calm in a busy environment; A positive, flexible and reliable approach to work.
Desirable: Previous experience working within a legal or professional services environment; Experience handling new client enquiries or customer onboarding; Experience using a case management system.
