The Role
NOTE: This is an office‑based role that cannot be fulfilled remotely. The primary focus of the receptionist position is to act as the first point of contact for visitors and manage the day‑to‑day running of the front desk. The role requires a professional, accurate, and timely service, supporting the front of house and client suite, and performing various administrative tasks. The receptionist works alongside a junior receptionist, providing guidance and maintaining smooth operation. Both will cover each other during holidays/leave.
Role & Responsibilities
- Act as the first point of contact for all visitors, greeting them promptly and notifying internal parties of arrival.
- Answer incoming calls and act as gatekeeper, directing calls appropriately and handling high volumes professionally while filtering nuisance callers.
- Ensure meeting rooms are presentable and ready for meetings throughout the day.
- Check visitors into reception immediately upon arrival to maintain security.
- Coordinate meeting room reservations, proactively monitoring schedules to avoid conflicts and resolving minor issues.
- Order catering for business meetings when required.
- Maintain accurate visitor, delivery, and outgoing package logs.
- Maintain a high degree of professionalism and confidentiality.
- Coordinate internal and external meetings for GT, booking required facilities, lunch, and equipment.
- Handle invoices relating to reception.
- Route emails to appropriate individuals, ensuring swift and timely response.
- Raise urgent matters to the Facilities Manager where appropriate, and follow up to ensure completion.
- Build strong relationships and maintain comprehensive knowledge of requirements for the Shard Building Team, utilizing the Shard portal (MVC) for visitor booking.
- Ensure confidentiality of documents, correspondence, and oral communications.
- Assist with office and desk booking for overseas GT employees, maintaining a log of overseas visitors for audit purposes.
- Take start‑to‑finish responsibility for all duties while keeping relevant teams informed.
- Coordinate and set up office‑wide internal employee socials and drinks.
- Act as Fire Warden (training provided).
- Hand out incoming post and courier deliveries.
