About the Team
The Technology, Innovation and Customer Experience team (TICX) are responsible for technical and operational delivery for the attendees at our events with a focus on our registration systems, event apps and onsite delivery including access to the event. As a team, we are a global group of high-performance event specialists who work collectively to successfully deliver events ranging from 300 to over 100,000 attendees across all regions of the world.
About the Role
The Event Registration/Technology Project Manager will report to the Head of Technology, Events and will hold a pivotal position supporting our existing teams in the full life cycle of our events from pre‑event planning to onsite delivery. The successful candidate will work closely with the existing team as well as be the main point of contact across the business for their assigned projects/workstreams.
Key Activities and Responsibilities
- Project Management – keep projects on track and stakeholders informed from kick‑off to delivery: coordinate and schedule project meetings, manage milestones and deliverables, and coordinate with internal teams to keep projects on track.
- Stakeholder Management – build relationships and shared understanding that keep delivery moving: build and own working relationships to fully support project teams during analysis and planning stages, brief clients on digital platforms, and provide training and documentation to internal stakeholders and contact centre where required.
- Registration Systems – configure and maintain our event registration systems including pass configuration, email and system content.
- Lead User Acceptance Testing (UAT) – create test plans and work with internal stakeholders to ensure systems are signed off against the agreed scope of work.
- Contribute to the evolution of our event technology platform by gathering business requirements, documenting process flows and making recommendations for improvements.
- Registration Logistical & Operational Planning – plan and resource the onsite registration operation: dimension onsite services, collateral design and ordering, signage planning, onsite scanning, staff training, risk and contingency planning.
- Process & Documentation – create and maintain repeatable delivery materials including onsite processes, FAQs and documents for digital onboarding of customers.
- Reporting, Budgeting & Planning – inform decisions with data, own spend areas, provide analytical support through reporting and insights, budgeting for assigned responsibility and contribute to roadmap planning.
Qualifications
- Demonstrable experience in event registration with technical and operational responsibilities.
- International event, conference or trade‑show experience as an organiser.
- Experience configuring and delivering event technology including registration systems, virtual event platforms and event apps such as Cvent, RainFocus, Stova or other SaaS platforms.
- Operational/logistical event planning experience (e.g., build throughput analysis, signage, temporary staff scheduling, collateral design and delivery).
- Excellent communication and presentation skills with the ability to explain complex processes to non‑event or technical colleagues.
- Supplier management experience.
- Aware of data privacy, GDPR and information security principles.
