Position Summary
You will provide trusted administrative support to senior leaders and the wider team. You will organise complex diaries, manage travel, and prepare meeting material. You will work across functions and locations to keep work moving. We value people who are organised, discreet, proactive and keen to learn. Responsibilities
- Supporting project contracting / budgeting processes, requiring use of multiple GSK IT systems as well as interaction with internal and external stakeholders and suppliers.
- Organising meetings consisting of both internal GSK employees and external stakeholders, which can occasionally be complex events requiring detailed planning and adherence to mandatory processes and procedures.
- Providing a business project support role for the core LT bi-weekly meetings and Townhalls for both Vx ID & RII Statistics groups.
- Providing administrator support for Biostatistics Team Sites, SharePoint communities and websites, including troubleshooting complex Finance and Tech issues.
- Coordinating travel plans for respective teams often involving complex itineraries and liaison with internal/external parties.
- Managing administrative requirements to support departmental recruitment and onboarding new starters.
- Managing administrative requirements to support Biostatistics leavers.
- Supporting preparation of documents and presentations, e.g., Organisation Charts, and organising team meetings and events using the full desktop package as requested.
- Completing credit card and personal expense claims for senior management.
- Providing day-to-day support for dealing with queries from the Biostats Teams to ensure the smooth function of the department.
- Providing cover for administrative staff absence.
- Cross-departmental support, for example supporting a LT/VP when on site.
- Supporting Biostatistics' ability to meet organisational development and business objectives.
Basic Qualification
We are seeking professionals with the following required skills and qualifications:
- Proven administrative and secretarial experience.
- Educated to at least GCSE A Level standard or equivalent.
- Excellent administrative skills with good attention to detail.
- Advanced IT skills including email systems, databases, PowerPoint, Word and Excel, and ability to rapidly work with new applications.
- Sound knowledge of finance and administrative systems, including purchasing, contracting and budgeting.
- Well organised and able to prioritise, work well under pressure and to tight deadlines.
- Problem-solving skills and tenacity to follow through until issues are resolved or work is completed.
- Proactivity in providing updates to team members.
- Ability to multitask, working both independently and as part of a team.
- Good interpersonal and communication skills.
- Personal attributes should include discretion, initiative, confidentiality and diplomacy.
- Flexible approach with a 'can do' attitude.
- Ability to work and coordinate activities globally.
Preferred Qualification
If you have the following characteristics, it would be a plus:
- Experience working in global or matrix organisations supporting cross-functional teams.
- Experience with SharePoint or managing team collaboration sites.
- Advanced Excel or basic data reporting and visual summary skills.
- Familiarity with procurement or finance systems and purchase order processes.
- Experience coordinating larger events, townhalls or board meetings.
