Role Overview
GS Yuasa Battery Europe Limited is seeking a highly organised, professional and proactive Executive Assistant to provide comprehensive support to the Directors of GS Yuasa Battery Europe Ltd. (GYEUR) and GS Yuasa Battery Sales UK Ltd. (GSYUK).
This is a pivotal role within the organisation, requiring discretion, efficiency and exceptional organisational capability. The Executive Assistant will act as a trusted partner to senior leaders, ensuring seamless coordination of diaries, travel, communication and administrative priorities across a fast-paced UK and European Sales & distribution business.
The successful candidate will demonstrate sound judgement, commercial awareness and the ability to anticipate needs while maintaining absolute confidentiality.
Key Responsibilities
Executive & Diary Management
- Proactively manage complex and frequently changing diaries for Directors and Senior Leaders
- Coordinate internal and external meetings across multiple time zones
- Prioritise appointments to optimise leadership efficiency and business focus
- Prepare and circulate meeting agendas, briefing packs and relevant documentation
- Record and distribute meeting minutes and follow up on agreed actions
Travel & Logistics
- Arrange domestic and international travel including flights, rail, hotels and car hire
- Manage travel itineraries ensuring cost efficiency and alignment with company policies
- Coordinate visa requirements where applicable
- Organise logistics for overseas visitors and senior stakeholder visits
- Support planning of leadership off-sites, strategy sessions and corporate events
- Prepare and process Director expense claims in line with company policies
- Reconcile corporate credit card statement
- Support with budget tracking and administrative cost monitoring
- Liaise with Finance to ensure timely and accurate submissions
Communication & Stakeholder Management
- Act as first point of contact for internal and external stakeholders engaging with Directors
- Screen correspondence and prioritise communication effective
- Draft professional correspondence, presentations and reports as requires
- Maintain strong working relationships across departments and European subsidiaries
Office & Operational Support
- Support preparation for Board meetings and senior leadership meeting
- Maintain confidential records and secure documentation
- Coordinate company announcements, visitor communications and executive updates
- Assist with project administration and ad hoc strategic initiatives
- Provide administrative support linked to UK distribution operations where required
Person Specification
Experience
- Proven experience as an Executive Assistant supporting senior leadership
- Experience within a distribution, manufacturing or commercial environment desirable
- Experience supporting multiple stakeholders simultaneously
- Exceptional organisational and time management skills
- High attention to detail and accuracy
- Strong written and verbal communication skills
- Proficient in Microsoft Office Suite including Outlook, Excel and PowerPoint
- Ability to handle confidential information with integrity
- Calm under pressure with strong problem-solving capabilities
- Commercial awareness and understanding of business priorities
