About the Role

We’re looking for a highly organised and proactive Temporary Document Controller to support our project and design teams. This role is ideal for someone who thrives in a fast‑paced environment, enjoys structure, and takes pride in accuracy and efficiency. You’ll play a key part in ensuring project documentation is controlled, compliant, and accessible to all stakeholders.

Key Responsibilities

  • Document Control & Administration
    • Maintain and update project documentation across Viewpoint (CDE), R‑Drive, SmartWaste, and Work Wallet.
    • Ensure all documents follow correct naming conventions and workflows.
    • Upload, QA‑check, distribute, and archive drawings, reports, and specifications.
    • Support tender submissions by collating and preparing documentation.
  • Team & Project Support
    • Provide daily administrative support to the Design Manager and wider project team.
    • Assist with resolving issues quickly and professionally.
    • Build strong working relationships with internal teams, clients, consultants, and subcontractors.
  • Front‑of‑House & Communication
    • Act as the first point of contact for visitors and incoming calls (where required).
    • Deliver a professional, friendly, and welcoming service.
  • Office & Operational Support
    • Manage incoming and outgoing mail, including Royal Mail online systems.
    • Maintain tracking logs, registers, and databases.
    • Order office stationery and supplies when needed.
    • Coordinate diaries and meeting room bookings for senior staff.
  • Additional Duties
    • Support general office operations as required.
    • Contribute to continuous improvement and uphold high standards of quality and service.
    • Demonstrate flexibility and willingness to learn.
