The Warehouse & Fulfilment Administrator plays a key role in ensuring the smooth end-to-end flow of orders, from receipt through to dispatch. Working closely with warehouse, manufacturing, production, commercial, quality and operational teams, you will manage orders, maintain inventory accuracy, oversee couriers, system integrations, and produce fulfilment reports using Mintsoft and linked related systems. In addition to operational responsibilities, this role has a strong administrative focus. You will maintain accurate system records, process operational data, handle documentation and ensure all fulfilment administration is completed accurately and on time. You will act as the main point of contact for warehouse and fulfilment enquiries, supporting clients, couriers and internal and external stakeholders. It is important that you are highly organised, detail-oriented and customer-focused, able to manage multiple priorities in a fast-paced environment while consistently demonstrating Group55 DNA behaviours.
Key Duties & Responsibilities:
- Process customer orders accurately through Mintsoft, ensuring all order details, customer requirements and delivery instructions are correctly captured and updated.
- Monitor live order queues throughout the day, prioritising workload effectively and ensuring all orders are dispatched within agreed service level agreements (SLAs).
- Generate and prepare all required shipping documentation, including labels, courier manifests and export paperwork where applicable.
- Liaise closely with warehouse teams to communicate picking priorities, special instructions and any changes to order requirements to ensure efficient fulfilment.
- Act as the first point of contact for warehouse and fulfilment queries by managing the fulfilment inbox, prioritising and responding to requests, and ensuring all issues are acknowledged, actioned, or escalated promptly within SLAs.
- Respond to enquiries from clients, suppliers, couriers and internal departments in a professional and timely manner, maintaining clear communication at all times.
- Investigate and resolve operational issues relating to orders, stock discrepancies, delivery delays and returns, escalating where necessary to ensure resolution.
- Provide regular updates on order progress, fulfilment status and stock availability to relevant internal and external stakeholders to support smooth operational flow.
- Maintain accurate and up-to-date stock records within Mintsoft, ensuring all movements are correctly recorded and reconciled.
- Process stock receipts, adjustments and inter-warehouse transfers in line with operational procedures and audit requirements.
- Manage stock replenishments by monitoring inventory levels, identifying low stock items and coordinating timely reordering and restocking to ensure availability and prevent fulfilment delays.
- Support and actively participate in routine stocktakes, PI cycle counts and reconciliation processes to ensure inventory accuracy and identify discrepancies.
- Manage courier and business partner integrations and booking systems, ensuring services are correctly configured and operating efficiently.
- Track shipments proactively, monitoring delivery progress and identifying potential delays or issues before they impact customers.
- Liaise directly with courier partners to resolve delivery issues, claims and service disruptions in a timely and professional manner.
- Produce regular operational reports covering fulfilment performance, order status and stock levels to support business decision-making.
- Maintain high levels of data accuracy across all systems, ensuring records are complete, consistent and regularly reviewed.
- Support the onboarding of new clients and products, including system setup, data entry and configuration within Mintsoft and associated platforms.
- Ensure full compliance with Health & Safety legislation, company policies and site procedures.
- Promote and maintain a strong safety culture including risk assessments, near misses and safety inspections.
- Ensure adherence to GMP standards and maintain a clean, controlled production environment at all times.
- Support compliance with ISO22716, ISO9001, COSMOS and B Corp standards.
- Ensure all quality issues are promptly escalated, investigated and resolved in conjunction with the Quality team.

- Proficient in Microsoft Office, particularly Excel.
- Experience using warehouse management systems (WMS) and e-commerce platforms.
This role will be office-based in Chorley, Lancashire. Group55 offer a company profit share bonus after a qualifying period. Salary: Competitive based on experience.
