Pay Rate: £15 per hour

Working hours: 8:30am - 4pm Monday - Friday

We are recruiting for an Office Administrator & Scheduler providing essential administrative and scheduling support to the Runcorn Service Centre and associated field service operations. This role is a maternity cover position, responsible for maintaining continuity of service.

Working in a fast-paced, regulated healthcare services environment, the role ensures service jobs and work orders are efficiently scheduled, accurately recorded, and clearly communicated to support operational performance, customer service, and service level delivery.

Key Responsibilities:

  • Debrief of Negative Pressure Returns (Goods in)
  • Update CitySprint Master Spreadsheet
  • Debrief task (if applicable)
  • Inter-Org Transfer
  • Receipt
  • Report any issues
  • Collections for Negative Pressure Instruments
  • Arranging collection with CitySprint
  • Despatch for Negative Pressure
  • Update picking form and assign fleet number
  • Move unit from SC to Rental location via Oracle
  • Creating packing list and shipping label (FedEx)
  • Change task status
  • Provide support and cover for Negative Pressure
  • Work Queue monitoring and assigning of task
  • Ad-hoc despatch for PW including repaired units and other items as required includes:
  • Creating OBD / manual delivery note and TNT labels
  • Using systems CRM Service, ECC & EWM
  • Processing export documentation for export despatch when required
  • Creating manual commercial invoices when required
  • Updating export despatches with PODs
  • VL10G customer order processing
  • Littmann: Processing of inbound Littmann stethoscopes
  • Provide cover for Littmann Salesforce cases
  • Filing
  • Answering phone politely and efficiently within 3 rings
  • Any other duties as required

Skills and experience required:

  • Experience working in a fast-paced office or administrative environment.
  • Strong organisational skills with the ability to manage multiple priorities.
  • Intermediate computer skills, including Microsoft Excel and Word.
  • Professional, confident, and friendly telephone manner.
  • High attention to detail and accuracy.
  • Ability to work under pressure and adapt to changing priorities.
  • Experience in a similar job role.
  • Job / work order scheduling experience (distinct advantage).
  • Experience using Oracle, Salesforce, and/or SAP systems.
  • Previous exposure to service coordination, logistics, engineering, or regulated environments.
