The purpose of the role is to provide comprehensive administrative support to warehouse operations by managing and controlling all documentation related to the receipt, storage, dispatch, import, and export of goods within and outside the UK. The Warehouse Administrator holds full responsibility for the accurate preparation and compliance of export documentation for international shipments, ensuring efficient processes and the smooth, timely dispatch of goods overseas.

Responsibilities:

  • Manage, maintain, and control all warehouse documentation related to the receipt and dispatch of goods.
  • Take full ownership of the export documentation process for shipments outside of the UK, ensuring compliance with all relevant customs and regulatory requirements.
  • Collaborate with Transport Planners across all European manufacturing sites to ensure stock is dispatched in line with customer requirements while maximizing the efficiency of the transport planning system.
  • Specifically prepare and process export documentation including Commercial Invoices, Packing Lists, Private Attestations, Export Health Certificates (EHCs), and any other required customs documentation.
  • Maintain organized, accurate, and audit-ready records in line with company and regulatory standards.
  • Reconcile purchase order receipts to ensure correct quantities are recorded and invoiced.
  • Develop an understanding of all stakeholder departments and the role of external governing bodies so that full responsibility can be undertaken for the export documentation process.
  • Serve as the link between the customer service department and the dispatch team, escalating issues to preserve service level to our customers.
  • Act as the key liaison between procurement team and the goods-in documentation flow and reporting of delivery discrepancies.
  • Ensure timely preparation and processing of import documentation for shipments received from other Griffith manufacturing sites.
  • Provide full support during internal and external audits, including timely retrieval of documentation for batch traceability.
  • Liaise with Transport Planners across European manufacturing sites to ensure shipments meet customer requirements while supporting optimization of transport planning systems.
  • Support the warehouse team with general dispatch administrative duties to ensure smooth day-to-day operations.
  • Maintain effective communication with internal departments regarding changes that may impact service levels or compliance requirements.

Requirements:

Education: GCSEs (or equivalent) in English and Maths. Preferred: A-levels or equivalent qualifications in Business, or Administration.

Experience: 2-3 years’ experience in warehouse administration or supply chain support role. Preferred: Exposure to UK export regulations, customs procedures, and import/export compliance requirements. Experience working with any form of ERP systems.
