Overview

Griffin Primary School is seeking a highly organised, proactive and committed Admin & HR Lead to join our vibrant and inclusive school community.

This pivotal 25‑hour a week role ensures smooth operations of the school office, leading essential administrative systems, and overseeing day‑to‑day HR functions.

The position works core hours 9:30–2:30 with occasional out‑of‑hours meetings, hearings, training or INSET, paid or time‑off in lieu, per Trust policy.

Key Responsibilities

  • Organisation
  • Ensure smooth running of the school office and all administrative & communicative systems.
  • Contribute to planning, development and organisation of support service systems, procedures and policies.
  • Maintain a professional reception, ensuring visitor checks and health & safety processes are followed.
  • HR – Recruitment, Personnel & Compliance
  • Recruit, hire and onboard new employees; manage recruitment administration (advertising, documentation, medical checks, DBS).
  • Oversee recruitment timeframes and safer recruitment processes.
  • Collate interview materials, respond to personnel queries (sickness, absence).
  • Oversee benefits administration and payroll processes.
  • Support performance management, employee relations and disciplinary actions where appropriate.
  • Develop and implement HR policies and procedures, ensuring compliance with labour laws, Trust policies and school policies.
  • Maintain the Single Central Record (SCR), monitor and review DBS checking process, keep records per retention schedules and data protection law.
  • Support the Data Protection Officer with staff awareness.
  • Supervision
  • Line‑manage the Administrative Assistant, allocating work to ensure efficient operation.
  • Develop an office team that meets the needs of the school, ensuring a positive image.
  • Make decisions in line with the school’s vision and values, encouraging others.
  • Administration
  • Manage manual and computerised record/information systems.
  • Analyse and evaluate data, producing reports and information.
  • Provide administrative support to staff and the Trust.
  • Oversee and organise admissions in line with Wandsworth and TEFAT policy; maintain waiting lists and allocate spaces.
  • Filing HR files, managing school inbox, ensuring response‑time expectations.
  • Coordinate induction for new pupils, manage census returns.
  • Resource & Operations Management
  • Order, monitor and manage stock, ensuring best value and compliance with purchasing procedures.
  • Operate relevant IT systems, including the school MIS.
  • Provide guidance to staff, pupils and visitors on administration systems.
  • Assist with procurement, securing sponsorship/funding, marketing and promotion.
  • Assist with premises repairs and site issues under the Principal or Caretaker.
  • Reception
  • Support colleagues when handling complex enquiries.
  • Respond promptly and accurately to messages, pass on information as required.
  • Safeguarding
  • Control access in line with safeguarding procedures: signing‑in visitors, ID checks, issuing passes, briefing on safety.
  • Report concerns immediately and promote welfare of children and young people.
  • Follow all school and Trust policies.
  • Communication
  • Write and send professional emails upholding the school’s values.
  • Assist with marketing and promotion.
  • Liaise with pupils, parents, carers, staff and external agencies.
