JOB DESCRIPTION SUMMARY
Reporting to the Senior Director Facilities Management, the CAFM Manager will oversee the configuration, operation and maintenance of the facilities management software system, ensuring accurate data, efficient work order management and system & property compliance. This role will bridge technical teams and end-users of the system, generating reports on maintenance, assets, and KPIs to drive operational and investment efficiency.
JOB DESCRIPTION Key Role Responsibilities
- Lead all workstreams integral to the CAFM system and work with operational teams and relevant stakeholders to support delivery.
- Overseeing the day-to-day operation, configuration, and upgrades of the CAFM system.
- Maintaining accurate asset registers, locations, PPM (Planned Preventative Maintenance) schedules, remediation quotations/purchase orders and building data.
- Defining and mapping business processes to enhance maintenance and reactive works.
- Analyzing data to generate performance reports (KPIs/SLAs) for leadership on maintenance, compliance, and budget tracking. Also to monitor and ensure contractor service levels are being met.
- Providing user support, training, and documentation to colleagues and contractors on how to effectively use the system and mobile devices.
- Acting as the main point of contact between IT teams, software vendors, and Facilities Management teams.
- Driving the adoption of new system capabilities, conducting audits on system usage, and managing CAFM improvement roadmaps.
Knowledge & Qualifications
- An understanding of UK Health & Safety laws and statutory regulations relating to high rise buildings management (I.e. the building safety regulations) including interactions with Local Authority Representatives.
- Strong working knowledge of CAFM systems, database management and BIM integrations.
- Proven property and facilities management experience.
- Ability to analyse large data sets and create meaningful reports.
- Strong interpersonal skills to work across various departments including operations, IT and finance.
- Degree or equivalent experience in Facilities Management, IT or a related field.
- Experience in system mobilization or contract mobilization.
- NEBOSH qualified (desirable).
- Understanding of SFG20 (Desirable) IWFM Level 4 (Desirable).
