The Assistant Manager is responsible for coordinating and delivering leasing and reservations activities and assisting the General Manager in day‑to‑day management of the portfolio to achieve budgeted revenue, occupancy priorities, resident retention and leasing goals.
Key Responsibilities
- Model company values at all times.
- Ensure property meets required standards, manage follow‑up calls and feedback after viewings.
- Participate in the leasing process: generate and monitor traffic, qualify prospects, prepare tenancy documentation, and complete move‑in/move‑out and notice‑to‑vacate procedures.
- Use property systems to generate sales and leasing reports, monitor unit availability, log maintenance requests, and record incidents.
- Interact with residents to improve service delivery and promote satisfaction and retention.
- Oversee on‑site inquiries, maintain inventory of ready apartments, recommend rent pricing and concessions, and monitor day‑to‑day sales and leasing activities.
- Implement advertising and promotional activities.
- Maintain local knowledge of resident needs (travel, entertainment, amenities).
- Stay informed about market and competitor conditions that may impact occupancy.
- Co‑ordinate tenancy management: inspections, evictions, late fee collection, and lease expiration monitoring.
- Monitor payments and chase outstanding arrears to meet business goals.
- Work with maintenance to ensure community appearance meets standards and inspect show flats.
- Partner with the General Manager to motivate the team and achieve leasing and occupancy targets.
- Assist the Community Manager with statutory UK tenancy legislation, health and safety compliance, and company policies.
- Report performance to investors and respond promptly to client concerns.
- Analyze financial and operational reports to identify and resolve leasing performance issues.
- Identify revenue‑generating opportunities and maximize utility efficiency.
- Cover General Manager responsibilities in their absence.
- Participate in on‑call roster to provide out‑of‑hours emergency support.
- Ensure community operations comply with company policies and housing regulations.
Qualifications
- General education background with proficiency in Microsoft Office (Word, Excel, Outlook).
- Proficiency in property operations software.
- Financial understanding of accounts and budgeting.
- Experience driving leasing/sales performance and managing operations with P&L responsibility.
- Knowledge of landlord/tenant legislation.
- Strong team player, capable of autonomous ownership.
- Flexible, adaptable in fast‑paced environments.
- Excellent communication skills in English.
- Strong organisational, multitasking, prioritisation, numerical skills.
