JOB DESCRIPTION SUMMARY

As Estates Facilities Manager, you will lead the hands-on delivery of facilities and maintenance services across your assigned properties and estates , managing the on-site estates and maintenance technicians and ensuring technical services are safe, compliant, cost-effective and aligned with Greystar's operational and resident/occupier service standards. This is a role you will be required to coordinate the wider technical delivery team, allocating tasks and taking personal responsibility for more complex or time-sensitive work. You are accountable for day-to-day estate operations, facilities and maintenance management, operational budgets, contractor management, planned maintenance delivery and operational reporting, escalating portfolio strategy, service charge governance, major procurement, capital planning and business planning matters to the Senior Commercial and Estates Manager. You will develop and maintain effective working relationships with all stakeholders, collaborating with Operational, Development, Legal and Finance colleagues, and delivering excellent customer service to all residents, occupiers, contractors and visitors.

Key Role Responsibilities

Estate Operations & Team Management

  • Lead and manage the on-site estates and maintenance technicians through direct supervision and active involvement in daily operations.
  • Conduct daily briefings, allocating tasks while selecting appropriate works for personal execution based on priority, complexity, and team capacity.
  • Maintain a strong on-site presence to supervise works, ensure quality standards, and support team members directly.
  • Manage direct reports effectively, delegating tasks as appropriate, and undertake annual and periodic performance reviews in a timely fashion.
  • Coach and develop the team, including apprentices or junior staff, and contribute to recruitment and succession planning by modelling high standards and technical expertise.
  • Take day-to-day operational decisions for the estate, escalating commercial, contractual, or high-value matters to the Senior Commercial and Estates Manager as appropriate.

Facilities & Maintenance Management

  • Manage the day-to-day operation and maintenance of the estate(s), including cleaning, security, hard and soft landscaping, electrical, M&E, and H&S service delivery.
  • Implement and maintain agreed security procedures and lock-down protocols on-site, and ensure adequate provision for emergency and out-of-hours cover.
  • Participate in mobilisation and handover of building systems from construction to operations.

Planned Maintenance Delivery

  • Manage the Planned Preventative Maintenance (PPM) schedule in line with SFG20 standards and ensure accurate execution.
  • Deliver lifecycle maintenance planning and reporting, feeding recommendations for upgrade, redevelopment, or disposal of assets into the Senior
  • Commercial and Estates Manager's capital planning process.

Operational Budget Management

  • Manage the estate's day-to-day operational budget, monitoring materials usage and costs, raising purchase orders as needed, and keeping within budget.
  • Provide accurate operational cost data to support the Senior Commercial and Estates Manager's service charge governance and OPEX/CapEx capital planning.
  • Complete monthly financial reports and attend monthly finance meetings.

Contractor Management

  • Manage contractors on-site day-to-day, ensuring RAMS, permits, and compliance measures are fully in place, and issuing permits to work as required.
  • Coordinate and verify the quality of outsourced services and escalating issues as needed.
  • Arrange and specify minor works and routine service contracts, referring major procurement and contract retendering decisions to the Senior Commercial and Estates Manager.

Compliance, Safety & Documentation

  • Promote and enforce Greystar's Health & Safety policies, modelling safe behaviours in all tasks.
  • Maintain compliance documentation including RAMS, permits to work, testing logs, and contractor records.
  • Conduct safety and quality inspections and implement corrective measures in collaboration with the Community Manager and Senior Commercial and Estates Manager.
  • Maintain full readiness for internal and external audits through proactive record keeping, and ensure compliance with all statutory and regulatory requirements.

Operational Reporting

  • Provide regular operational updates including maintenance KPIs, safety reports, and work summaries to the Senior Commercial and Estates Manager, to support wider investor and compliance reporting.
  • Track and report on estate performance against agreed operational KPIs and service standards.

Operational Tenant & Resident Support

  • Foster a proactive, resident/occupier-first approach within the team, resolving day-to-day operational concerns with a customer-first mindset.
  • Act as the first point of contact for residents and occupiers on operational matters, escalating commercial tenant matters such as lease terms, renewals, and negotiations to the Senior Commercial and Estates Manager.
  • Organise regular on-site engagement activity that supports day-to-day relationships and satisfaction.
  • Act as a role model at all times by demonstrating Greystar's core values.

About You

  • Technical qualification in mechanical, electrical, plumbing, or a related building services field, or experience in Property Management, Building Surveying, Estates Management, Construction Management, or a related discipline.
  • Good understanding of Health and Safety processes; holding IOSH or higher.
  • Knowledge of relevant Landlord and Tenant Act, RICS and ARMA guidelines, and statutory compliance requirements.
  • IT literate and fully conversant with Microsoft packages, including PowerPoint and Excel (Intermediate level).

Experience & Skills

  • Managing delivering building maintenance services; confident in overseeing necessary repairs and working independently
  • Experience in a similar role within a high-end residential and mixed development
  • Managed budgets and overall expenditure, and experienced in producing and managing service charge budgets, quarterly reviews and reconciliations.
  • Skilled in managing contractors, prioritising workloads, and balancing team leadership with hands‑on task execution.
  • Strong knowledge of statutory compliance, H&S regulations, and best-practice maintenance delivery.
  • Excellent communication and customer management skills, with strong written communication skills including the ability to prepare commercial‑standard business correspondence, reports, and proposals.
  • Excellent organisation skills, including the ability to prioritise workload and show good judgement under pressure.
  • A positive team player, with an adaptable and flexible approach and the ability to work collaboratively to drive results and support wider team and business objectives.
