Executive Assistant Job – Southampton, Hampshire – £36,000 to £40,000 DOE

Greycoat Lumley’s client is seeking an experienced Executive / Business Assistant to support two chairmen of multiple businesses based in Southampton. This is a pivotal and varied role for the right candidate, who must have excellent communication skills, strong attention to detail and the ability to manage multiple priorities in a fast-paced environment.

The successful candidate will need to be organised, proactive, discreet and professional, with proven experience in supporting senior leadership.

Responsibilities

  • Providing comprehensive administrative support, including diary management, travel arrangements and meeting coordination
  • Preparing high-quality correspondence, presentations and reports on behalf of leadership
  • Acting as the first point of contact for internal and external stakeholders, always ensuring professionalism and confidentiality
  • Organising board meetings, including agenda preparation, minute-taking and follow-up on action points
  • Managing expense reports, procurement requests and budget tracking
  • Supporting project coordination, ensuring deadlines are met and deliverables are tracked
  • Maintaining efficient filing systems (digital and physical) and ensuring data accuracy
  • Proactively anticipating the needs of the executives and taking initiative to resolve issues before they arise

Skills & Experience Required

  • Proven experience as an Executive Assistant or Personal Assistant
  • Strong organisational and time management skills with the ability to prioritise and work under pressure
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office Suite and digital collaboration tools
  • Discretion and confidentiality in handling sensitive information
  • Professional demeanour with strong interpersonal and stakeholder management skills

Desirable

  • Experience supporting C-suite executives
  • Knowledge of financial or professional services sectors
  • Event coordination experience

Salary: £36,000 – £40,000 GPA DOE
