Job Description

We are seeking an organised and proactive Workshop Coordinator to join our busy HGV workshop team.

This is an excellent opportunity for someone with strong administrative skills who enjoys working in a fast-paced environment supporting vehicle maintenance operations.

Key Responsibilities

  • Provide day to day administrative support to the Workshop Controller and wider workshop team.
  • Assist with scheduling vehicle servicing, maintenance, inspections and MOTs.
  • Raise, update and close workshop job cards accurately and within agreed timescales.
  • Maintain accurate records of vehicle maintenance, inspections and compliance documentation.
  • Monitor work in progress and support the tracking of job status and vehicle turnaround times.
  • Process purchase orders, invoices and supplier documentation.
  • Update fleet and workshop management systems with accurate and timely information.
  • Produce reports and administrative data to support workshop performance monitoring.
  • Assist with warranty administration and external repair documentation.
  • Ensure workshop records are maintained in line with DVSA and company compliance requirements.
  • Handle telephone and email enquiries professionally and efficiently.
  • Support the management of vehicle downtime and help ensure maintenance activities are completed within agreed timescales.
  • Carry out general administrative duties to support the smooth running of the workshop operations.
  • Arrange servicing and maintenance of workshop equipment in line with required schedules.

Requirements

  • Previous experience in an administrator role, preferably within an HGV, fleet, transport or workshop environment.
  • Excellent attention to detail and ability to manage multiple tasks effectively.
  • Strong communication skills, both written and verbal.
  • Ability to work independently and collaboratively within a team.
  • Proficient in Microsoft Office applications, particularly Excel and Outlook.
