At Gregory Distribution, we are seeking an organised and detail-oriented Administration Assistant to support our Key Account teams with a variety of administrative duties and manual data entry tasks. This role plays a vital part in ensuring customer information, operational records, and reporting systems are updated accurately and efficiently.

Key Responsibilities:

  • Provide efficient administrative support to key account teams across a range of customer accounts.
  • Maintain accurate records, databases, and customer information, ensuring all data is updated promptly and accurately within internal and customer systems.
  • Manage incoming communications, including emails, telephone calls, and customer correspondence, responding professionally and in a timely manner.
  • Organise and maintain electronic and manual filing systems, documentation, and office resources.
  • Coordinate meetings, diaries, and schedules, including arranging appointments, preparing agendas, and distributing meeting information.
  • Assist in the preparation of reports, presentations, spreadsheets, and other business-critical documentation.
  • Undertake a variety of administrative duties, including data entry, document processing, scanning, filing, and administrative follow-up actions.
  • Support the effective operation and continuous improvement of office systems, processes, and procedures.
  • Work collaboratively with colleagues across departments to support team objectives and deliver excellent customer service.
  • Prioritise workload effectively to ensure deadlines are met and service levels are maintained.
  • Handle confidential and sensitive information with discretion, professionalism, and in accordance with company policies.

Requirements:

  • Proficiency in MS packages, including Word, Excel and Outlook.
  • A positive attitude and willingness to learn.
  • Strong attention to detail and accuracy.
  • Good organisational and time management skills.
  • A reliable and proactive approach to work.
  • Ability to work well as part of a team.
