Greenvolt Power UK is looking for an Administration Assistant who will be responsible for carrying out all necessary steps to ensure the GV office's regular operation, including maintenance, purchase of supplies, invoices, payments, office management, internal reporting and offer support to the development team, as and when required.
Key accountabilities:- Liaising with IT on any issues within the office and implementing work required;
- Take responsibility for invoice processing, payments and receipts;
- Assist the Finance and HR Department with documentation;
- Ensure the invoices are paid on time;
- Responsible for organization and implementation of several event activities, organization of meetings, travels, and accommodation, including booking meeting rooms, catering, and management of expense reports when required;
- Support in the organization of files, visits, and management of office materials needed;
- Prioritize workload involving multiple projects/timelines with minimal guidance;
- Use advanced level software programs such as Excel and PowerPoint to create graphs, charts, spreadsheets, and reporting presentations when needed;
- Assist the Finance Manager by liaising with external suppliers, Banks, authorities, etc.;
- Support Finance Manager in the preparation of information for internal and external audits and reporting;
- Be the main contact point for Health, Safety and Environmental matters for the UK Office including any required group reporting;
- Support the Development team with procurement processes in SAP.
- 7 GCSEs or Equivalent including maths & English
- 2 A-Levels or equivalent
- Minimum 3 years of experience in similar roles
- At least 3 years of office support experience for a small to mid-size employee environment
- SAP experience is an advantage
- Accounts payable
- Strong computer skills specifically Outlook, Teams, Word, Excel and PowerPoint
- Strong organizational skills and the ability to multi-task
- Ability to collaborate and work with diverse constituencies
- Strong written and verbal communication skills
