Greenvolt Power UK is looking for an Administration Assistant who will be responsible for carrying out all necessary steps to ensure the GV office’s regular operation, including maintenance, purchase of supplies, invoices and payments, office management, internal reporting and support to the development team as required.
Key accountabilities:- Liaising with IT on office issues and implementing required work.
- Processing invoices, payments and receipts.
- Assisting the Finance and HR departments with documentation.
- Ensuring invoices are paid on time.
- Organizing and supporting event activities, meetings, travel and accommodation, including booking meeting rooms, catering, and managing expense reports when required.
- Supporting the organization of files, visits, and management of office materials.
- Prioritizing workload across multiple projects and timelines with minimal guidance.
- Using advanced software (e.g., Excel and PowerPoint) to create graphs, charts, spreadsheets and reporting presentations when needed.
- Assisting the Finance Manager by liaising with external suppliers, banks and authorities.
- Supporting the Finance Manager in preparing information for internal and external audits and reporting.
- Being the main contact point for Health, Safety and Environmental matters for the UK Office, including any required group reporting.
- Supporting the Development team with procurement processes in SAP.
- 7 GCSEs or equivalent including Maths and English.
- 2 A-Levels or equivalent.
- Minimum 3 years of experience in similar roles.
- At least 3 years of office support experience in a small to mid-size environment.
- SAP experience is an advantage.
- Accounts payable experience.
- Strong computer skills, specifically Outlook, Teams, Word, Excel and PowerPoint.
- Strong organizational and multi-tasking abilities.
- Ability to collaborate with diverse teams.
- Strong written and verbal communication skills.
