We are seeking a highly organised and professional Commercial Property Administrator to provide comprehensive administrative support to our busy Commercial Property Division.
This is an excellent opportunity for an experienced administrator who thrives in a fast-paced environment and enjoys working closely with clients, surveyors, solicitors, landlords and tenants.
The successful candidate will play a key role in supporting our Commercial Surveying team, ensuring the efficient management of commercial property transactions and maintaining the highest standards of client service.
Your duties will include, but will not be limited to: Managing the administrative functions of the Commercial Property Division and providing dedicated support to the Commercial Surveying team.
Opening, maintaining and updating commercial property files, ensuring records, legal documentation and client information are accurate and well organised.
Preparing and issuing invoices, maintaining billing records and liaising with the central finance team as required.
Coordinating Anti-Money Laundering (AML) checks and compliance documentation in line with legislation and company procedures.
Preparing commercial property documentation, including Heads of Terms and supporting transaction documentation from dictated instructions.
Conducting Land Registry, EPC and other property-related searches to support transactions, enquiries and marketing activities.
Managing commercial property listings across platforms including Reapit, Zoopla and Rightmove, ensuring information remains accurate and up to date.
Acting as a key point of contact for clients, landlords, tenants, solicitors and other stakeholders, responding to enquiries and facilitating the smooth progression of property matters.
Organising and coordinating commercial property viewings and providing administrative support throughout the marketing process.
Managing the team diary, coordinating meetings, preparing correspondence and reports, and handling confidential information with discretion and professionalism.
About You The ideal candidate will have: Previous experience in an administrative role, ideally within commercial property, estate agency, surveying, legal or professional services.
Excellent organisational skills with the ability to manage a varied workload and prioritise competing demands.
Strong attention to detail and a commitment to maintaining accuracy in all aspects of work.
Excellent written and verbal communication skills.
The ability to work independently while also contributing effectively as part of a team.
Strong IT skills, including Microsoft Office and property management systems.
The ability to handle confidential information with discretion and professionalism.
Desirable: Experience using Reapit, Zoopla and Rightmove.
Knowledge of AML procedures and compliance requirements.
Familiarity with commercial property transactions and documentation.
