About the role
Your role is to support the People & Culture Lead with a wide range of HR tasks, including HR administration, maintaining the HRIS, and ensuring the seamless operation of the People & Culture function.
Additionally, this position involves taking ownership of key office support responsibilities, contributing to the smooth running of day-to-day operations.
What you’ll do
HR Administration
- Createand distribute Company letters andcontracts for freelancers&employees.
- Actionthe neededright-to-workfor new joinersfor theirregion.
- Lead the onboarding process, ensuring all tasks are completed, documents are signed, and files are accurately stored, while continuously identifying opportunities to improve the process.
- Maintain up-to-date visa right-to-work checks, flag upcoming visa expirations to the People & Culture Lead.
- Ensure all employee changes are reflected in the S&L system, coordinating with TAand IT as needed.
Manage monthly HR credit card transactions in collaboration with the Finance team.
- Maintaining up-to-date and accurate records, including processing and storing documents
HRIS Management
- Support the People & Culture Leadin keeping the HRIS up to date, includingbut not subject to Company links and documents, public holidays, employee profiles (e. g., notice periods, probation end dates, salary/job changes).
Payroll Administration
- Assist the People & Culture Leadin managing the payroll platform, actioning admin requests, and addressing document queries from employees.
Employee Engagement
- Organise and manage employee gifts for birthdays, leavers, and special occasions.
- Support with the preparation of the People slide for the monthly Townhall presentation, sharing key People updates for the monthly IMM.
- Support the People & Culture Leadin planningemployee socials and events, ensuring they are engagingandinclusive.
Office Support
- Manage bi-weekly office needs, such as groceries and supplies, and coordinate cleaning arrangements with the office cleaner.
- Provide support to EMEA employees for business travel and accommodation, in line with Finance approvals.
Private Medical Insurance and Other Benefits
- Assist with the management of Greenpark’s Private Medical Insurance and other employee insurances, as needed.
About you
- HR or office admin experience preferred, graduates welcome with strong soft skills and eagerness to learn
- HRIS/payroll familiarity a plus, training provided
